Senior Administrative Assistant

Ozark is hiring a full-time Senior Administrative Assistant to join our expanding team!

The hours for this position are Monday - Friday, 8:00 AM - 4:30 PM, on site at our downtown Kansas City, MO office location.

Overview

This role is responsible for ensuring efficient day-to-day operations and strategic support for executive leadership and departmental initiatives.

This role supports the President and VP of Sales & Distribution of Ozark National Life, as well as internal teams and external partners, and plays a key role in managing executive priorities, coordinating activities, and maintaining operational efficiency within established guidelines and service level expectations.

This role requires a highly organized and proactive professional who can anticipate needs, manage competing priorities, and operate effectively in a fast-paced environment. The Administrative Assistant will coordinate schedules, manage travel, facilitate meetings, support large-scale event planning, and handle sensitive information with discretion and professionalism. This position is 100% on-site and includes travel for the planning and execution of annual agent events.

Key Responsibilities
  • Proactively manage and optimize executive calendars, schedules, and meetings to maximize productivity.
  • Serve as the first point of contact for incoming communications, prioritizing and responding to requests appropriately.
  • Coordinate and organize meetings, conference calls, and special events, including preparing agendas and supporting materials.
  • Oversee travel arrangements for executives and agents, including flights, accommodation, and itineraries, while managing last-minute changes.
  • Draft and edit correspondence, reports, presentations, and communications for internal and external stakeholders.
  • Plan and execute annual agent events (80-100 attendees), including travel logistics, itineraries, and on-site coordination and problem resolution.
  • Maintain spreadsheets, documents, and presentations to support business initiatives.
  • Organize and manage departmental files and records for accessibility and efficiency.
  • Assist with special projects, purchasing, and provide additional administrative support as needed.
Required Qualifications
  • Minimum of 5+ years of experience in an administrative support role.
  • Excellent written and verbal communication skills with a professional and polished demeanor.
  • Strong organizational and multitasking abilities, with the ability to prioritize and adapt to changing demands.
  • Demonstrated experience coordinating events and managing high-volume travel logistics.
  • High level of discretion and confidentiality when handling sensitive information.
  • Ability to work under pressure and meet tight deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Proactive, problem-solving mindset with the ability to anticipate needs and take initiative.
Preferred Qualifications
  • Bachelor's degree or equivalent combination of education and experience.
