Medical Support Assistant (Advanced)

Job TitleDutiesHelp. NOTE: The 2-page Resume requirement does not apply to this position. The work includes functions such as serving as an initial point of contact for the units, clinics, patients, call centers, CITC to include, but not limited to, scheduling patient appointments, tracking, reviewing, and responding to electronic orders, consults, and other elements in the electronic medical record and medical systems. This series includes work that requires a practical knowledge of computerized data entry, information processing systems and software related to patient care, the healthcare systems organization and services, basic rules and regulations governing visitors and patient treatment, knowledge of standard procedures, utilizing medical records, and medical terminology.Administrative duties:Prepares for clinics-including printing appointment and clinic listsMonitors ICB and patient demographics; ensures encounter forms are completedEnsures return to clinic orders are completed dailyEnsures recalls are completed dailyConsult report is cleaned up dailyRoutinely reviews active/pending consults dailyInterprets, verifies, and dispositions provider ordersCompletes reports; records meeting minutes, scribe with co-signerMonitors appointments for area of responsibilityMonitors electronic wait list; monitors and maintains clinic grids with supervisionProcesses all transfers to other facilitiesPerforms basic eligibility requirementsMaintenance of warehouse supplies and clinic formsAssist with clinic access contingency plans by adjusting appointment times, locations or datesCompletes/trains/shares knowledge of data programs such as VETEXT, VAOS, NEAR, Message Manager, Secure Messaging, Right Fax, Audiocare, etc.Requests medical records from Community Care providers and non-VA healthcare institutions; conducts special auditsStudies or surveys as requestedCollects complete and appropriate data for reporting purposesOrganizes and implements quality assurance documents for supervisorEnters and monitors work ordersOrders supplies and equipmentProvides coverage for scheduling staff during intermittent shortages.Work Schedule: Monday - Friday, 8:00am - 4:30pmTelework: Not availableVirtual: This is not a virtual position.Functional Statement #: 000000Relocation/Recruitment Incentives: Not authorizedPermanent Change of Station (PCS): Not authorized
