Property Manager, Office Manager & Executive Assistant

Construction Personnel Group Inc

Job Description

Job Description

This position has three major components to it and answers only to the Owner:

  1. Property Management: You'd handle the administrative side of managing our rental properties, including tenant communication, late-rent follow-up, coordinating repairs and maintenance, delegating field work, tracking open issues, handling vendor and contractor communication, and making sure problems are followed through to completion.
  2. Office Management: We have two companies. One is real estate and the other is a construction staffing agency. You'd handle oversight of insurance, human resources, legal matters, vendors, office systems, supplies, equipment, licenses, renewals, record keeping, and the miscellaneous operational issues that come with keeping two small businesses running smoothly.
  3. Assistant to the Owner: You'd help manage my priorities, follow up on things I start, coordinate appointments and commitments, handle research and miscellaneous projects, make routine decisions in my absence, and gradually learn enough to be able to run the show so I can take a vacation and not worry.

Who will do well here? Someone who:

  • is smarter than me—or at least brings something extra to the table
  • is not afraid to make decisions and live with the consequences
  • is kind, empathetic, and emotionally mature
  • is more in control of their life than not
  • chooses fight over flight (ask me about this).
  • is able to give the job their full attention

Helpful to have experience with

  • Anything construction industry or real estate related
  • Legal / compliance — contracts, leases, employment issues, regulatory filings, working with attorneys, understanding when something needs legal attention
  • Property management — tenant communication, collections, maintenance coordination, leases, vendors, tracking open issues
  • Managing people, vendors, and contractors
  • Collections / accounts receivable — late rent, overdue invoices
  • Accounting—bookkeeping, payroll, job costing
  • Insurance—workers' compensation, DBL, liability, EPLI, New York tort law, transfer of liability, indemnification, and related risk management
  • Technology—We are very progressive for companies our size.
  • Human resources
  • Executive / personal support — managing someone else’s priorities, calendar, travel, errands, events, confidential matters

Offered

  • Vacation and personal days
  • 401(k) with company match
  • Health insurance

On a personal note

Being a good culture fit and liking each other is probably more important than knowing everything. I am quite content to train to fill in the gaps. But the person in this role will ultimately become a trusted part of my day-to-day life. I'm a single father with two grown daughters. Occasionally, I may need help planning a party or running an errand. My expectation is that you would be happy to help.
