ROLE OVERVIEW As Executive Producer, you will lead the successful delivery of events across our key accounts, while managing and inspiring the events team to drive exceptional outcomes. This hands on, multifaceted role offers the opportunity to create innovative concepts, oversee large-scale budgets, and shape the future of our event portfolio. You will play a pivotal role in strategic business development, including onboarding new accounts and strengthening relationships with our existing clients while also taking active hands on leadership for our most important event projects. B2B Focused: The Executive Producer for Live Event Delivery is a senior leadership position responsible for supervising and coordinating all aspects of large-scale B2B live events from conception to flawless execution within our experiential marketing agency. This role emphasizes the strategic planning, execution, and successful delivery of complex projects. The Executive Producer serves as the primary strategic client liaison, overseeing large project teams, developing innovative ideas and concepts, crafting executable plans, managing significant budgets, overseeing operations, managing project timelines, directing staff, and coordinating technical and production teams. They are the ultimate owner of the project lifecycle, from conceptualization through post event analysis, ensuring all facets are meticulously managed and flawlessly executed to deliver exceptional client satisfaction. SKILLS & ATTRIBUTES Minimum of 10+ years of progressive experience in live event production and management, with at least 4 years in a senior leadership or executive Producer role. Proven track record of successfully delivering large-scale B2B events, (e.g., conferences, product launches, corporate meetings, galas, festivals) with significant budgets. Minimum of 5-7 years of management or supervisory experience in a leadership role within an agency or similar fast‑paced environment. Demonstrated expertise in all phases of event production, including concept development, design, technical production, logistics, and on site execution. Extensive experience in client relationship management, negotiation, and contract administration Crafting comprehensive proposals and delivering creative, compelling client pitches. Participate in business development activities, including client pitches and proposal development, leveraging expertise to secure new projects. Proven expertise in managing RFPs with precision and professionalism. Strong knowledge of AV and production processes to ensure seamless event execution. Technical Proficiency: Strong understanding of current and emerging event technologies, audiovisual technology, staging lighting sound and virtual/hybrid event platforms. Exceptional skills in event operations, including the implementation and execution of efficient processes. In depth understanding of global venues, complemented by excellent research capabilities. Demonstrated expertise in managing complex, large scale budgets (over $3M) across multiple currencies. Develop, manage, and meticulously monitor comprehensive event budgets ranging from [$1Mto $8M+], ensuring financial viability and profitability for each project. Oversee all financial aspects, including proposal development, cost estimation, vendor negotiation, contract review, invoice approval, and final reconciliation. Implement robust cost control measures without compromising quality or client objectives. Provide regular financial reporting and forecasting to internal stakeholders and clients including forecasting, cost control, P&L responsibility Proficiency in forecasting and revenue projection to support strategic planning. Expertise in business development, including identifying new opportunities, nurturing client relationships, and driving revenue growth. Commitment to maintaining and enhancing company standards, ensuring brand consistency internally and externally. Exceptional time management, problem solving, and organizational skills. Ability to anticipate needs, prioritize tasks effectively, and meet tight deadlines. Proactive and adaptable with a "can-do" attitude and willingness to take initiative. Strong line management skills, with experience leading teams of 4 or more. Lead, mentor, and inspire a diverse team of event professionals, (in line management and on projects) including Producers, Project Managers, Technical Directors, and event staff, fostering a collaborative and high‑performance environment. Define project scope, goals, and deliverables in collaboration with senior management and clients. Develop and oversee detailed project timelines, resource allocation plans, and critical path schedules. Conduct regular team meetings to ensure alignment, track progress, identify risks, and implement mitigation strategies. Arbitrate conflicts, resolve issues, and make critical decisions to keep projects on track and within budget. Excellent written and verbal communication skills, with fluency in English essential; proficiency in additional languages is an advantage. Advanced proficiency in IT tools, including Microsoft Word, Excel, Salesforce, and PowerPoint.
