Responsibilities The Specialist is directly responsible to the Manager of Child Nutrition and Transportation Related Services and indirectly responsible to the Deputy Superintendent and Deputy Superintendent/Chief Operations Officer. General Duties: Perform the clerical and record‑keeping functions necessary for the effective functioning of the Child Nutrition and Transportation Related Services department. Enter departmental purchase requisitions in the Finance System; compose, write and/or type correspondence, bulletins, e‑mails, guides, forms; maintain written and electronic records and reports; keep organizational and financial files up-to-date; duplicate and distribute written materials; monitor telephones, record messages and follow up with inquiries; assist Manager with projects and reports; compile and distribute information relative to the annual ISBE Parent/Guardian Transportation Reimbursement Claim; prepare National School Lunch Claims monthly; provide backup assistance to Grants & Budgeting during extended absences; assist parents with inquiries related to the School Lunch Program and Student Transportation; assist in processing student fee waiver applications; collect departmental fees; process school fee refund requests; assist in completing the departmental annual budget; run budget reports when needed; assist in accounts payable as a backup; be available as a resource for training new or other personnel; inform Manager of telephone calls and other matters; maintain accurate records and filing systems; keep records of department leases and contracts; troubleshoot contractor invoicing; keep spreadsheet of student accident reports; utilize electronic calendar for appointments; act as receptionist; maintain department payroll and related payroll; operate all office equipment; prepare and disseminate all correspondence; manipulate and process data; create and run reports; maintain office equipment; attend trainings; perform other duties as assigned. Qualifications High school diploma or equivalent. Ability to use modern office technology such as word and spreadsheet software. Minimum typing speed of 45 wpm and ability to pass required proficiency test(s). Record‑keeping ability. Ability to prioritize and work independently with minimal supervision. Ability to follow oral and written instructions. Professional and quick handling of questions and concerns from co‑workers, students, and parents. Excellent organizational skills, ability to keep all records and files up-to-date and neat. Ability to accomplish scheduling, including proficiency using the district electronic calendar system.
