Communications Clerk
The purpose of the GCISD Department of Communications Services is to support the district's mission, vision and priorities through a two-way communication approach with internal and external public that promotes the successes and accomplishments of the district and its students and staff; inform stakeholders of the objectives, policies, needs and procedures of the district; increase awareness of matters of state and national importance that affect the district; foster community support and a positive image of the district and its schools and programs; and emphasize the district's commitment to continuous educational improvement and success for every student.
The Communications Clerk dually serves as a front-desk receptionist and is a professional face and voice of Grapevine-Colleyville ISD's central administration. This position blends front-line customer service and reception duties with critical digital, clerical, logistical, and creative support for the GCISD Communications Department. The ideal candidate possesses excellent interpersonal skills, basic design capabilities, a sharp eye for detail, and the organizational agility to manage athletic media logistics alongside day-to-day office responsibilities.
Education/Certification: High School Diploma or equivalent required; college-level coursework in communications, public relations, graphic design, or journalism preferred.
1-2 years of experience in an administrative support, clerical, receptionist, or public-facing role preferred.
Special Knowledge/Skills:
- Proficiency in Google Workspace/Microsoft Office, basic website content management systems, and digital graphic design tools (Canva, Adobe, etc.).
- Strong writing, editing, proofreading and research skills
- A "customer service" mindset
- Ability to consistently meet deadlines
- Strong organizational skills
- Ability to manage multiple priority projects
- Knowledge of AP Style, preferred
- Exceptional proofreading and editing skills with attention to detail
- Initiative, positive attitude, strong work ethic and customer service mindset
Responsibilities and Duties:
- Serve as a receptionist for the central administration office, greeting visitors, staff, and community members with a welcoming and professional demeanor.
- Answer, filter, and route incoming phone calls to appropriate departments, providing accurate basic district information.
- Maintain a clean, organized, and secure front lobby environment.
- Assist the Communications Department in updating content on the backend of the official district and campus websites, ensuring information remains accurate, timely, accessible, and aligned with GCISD brand standards.
- Perform regular broken link checks and image optimization on district and campus websites.
- Design and create visually engaging social media graphics for district platforms to communicate timely informational updates, closures, deadlines, and community announcements.
- Monitor, filter, and maintain all submissions sent to the general district Info email box, routing requests to relevant staff or drafting responses directly.
- Manage process for varsity football game press requests at Mustang Panther Stadium, including reviewing media credentials from local news, sports outlets, and student journalists.
- Serve as a proofreader and copyeditor for public-facing communication materials, including district web content, feature stories for GCISD Insight, social media posts, and press releases.
- Manage the clerical and operational pieces of the Leadership GCISD and other community outreach programs, including maintaining ongoing communication with event sponsors, ordering supplies, and booking meeting rooms.
- Assist with outreach to campus/department leaders, students, and families to coordinate logistical details for formal Board of Trustees recognitions.
- Assist Communications Department with annual events (Convocation, graduation ceremonies, Walk a Mile, etc.)
Working Conditions:
This position directly reports to the Executive Director of Communications. The Communications Clerk position offers a part-time flexible schedule in coordination with the part-time Front Desk Receptionist.
