Job Description:

The Receptionist serves as the first point of contact for residents, families, visitors, and staff, providing professional, courteous, and efficient customer service at all times. This role manages the front desk operations, answers incoming calls, directs inquiries, and performs general administrative and clerical support duties. The Receptionist represents the nursing home facility with a welcoming and compassionate demeanor, ensuring a positive first impression and maintaining the confidentiality and integrity of all communications.

Essential Job Duties:

• Greets residents, visitors, staff, and vendors in a friendly and professional manner.
• Answers and routes incoming telephone calls promptly and accurately.
• Provides information and assistance to visitors, residents, and staff as appropriate.
• Maintains visitor logs and ensures compliance with facility sign-in procedures and safety protocols.
• Sorts, distributes, and processes incoming and outgoing mail and packages.
• Assists with basic clerical duties such as filing, photocopying, data entry, and maintaining records.
• Schedules appointments, meetings, or resident tours as directed.
• Communicates promptly with appropriate departments regarding deliveries, messages, or resident needs.
• Maintains a clean, organized, and welcoming front desk and lobby area.
• Supports the administrative and nursing teams with special projects and tasks as assigned.

Job Knowledge & Skills:

• Knowledge of professional office practices and administrative procedures.
• Proficient in telephone and customer service etiquette.
• Strong organizational skills and ability to manage multiple tasks efficiently.
• Excellent communication and interpersonal skills, with the ability to interact professionally with residents, families, staff, and the public.
• Basic computer proficiency, including Microsoft Office and standard office equipment.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Professional, calm, and compassionate demeanor, especially when working with residents and families.

Qualifications & Education:

• High school diploma or equivalent required.
• Previous experience in an administrative, front desk, or receptionist role preferred-healthcare or long-term care experience strongly desired.
• Familiarity with medical terminology and basic office systems preferred.
• Must be able to pass background checks and meet facility employment requirements.
• Must demonstrate a moderate level of computer literacy in order to use and access our systems and tools within our facilities to complete online tasks and documentation.
• Must be able to effectively communicate and interact professionally with staff and residents.

Physical Requirements

• Ability to sit, stand, and walk for extended periods.
• Must be able to lift up to 20 pounds occasionally.
• Manual dexterity to operate office equipment such as telephones, copiers, and computers.
• Visual and auditory proficiency required for effective communication and telephone operation.
• Ability to maintain focus and professionalism in a busy, fast-paced environment.
