About the Role
Gramazon / DACUT is seeking a highly organized, analytical, and detail-oriented Cycle Count Administrator to protect the accuracy and integrity of cannabis and non-cannabis inventory across company operations.
The Cycle Count Administrator owns the routine cycle count program, including planning and executing scheduled counts, comparing physical inventory to system records, documenting variances, coordinating recounts, researching root causes, and ensuring discrepancies are properly resolved or escalated.
This position works across warehouse, distribution, retail, cultivation, processing, and other inventory-holding areas as assigned.
For regulated cannabis inventory, this position also supports reconciliation between physical inventory, internal systems, and METRC records in accordance with Michigan Cannabis Regulatory Agency requirements and company procedures.
The primary standard of this position is inventory integrity. A count is not complete when a variance is found; it is complete when the variance has been verified, documented, routed, and resolved in accordance with company controls.
Essential Responsibilities
Cycle Count Program Administration
- Execute daily, weekly, and monthly cycle counts according to the approved inventory count schedule.
- Generate and maintain count lists by location, SKU, item, package, category, risk level, value, or other assigned criteria.
- Perform blind counts when required so physical verification remains independent of expected system quantities.
- Record count results accurately and maintain complete count documentation.
- Coordinate recounts for inventory outside established tolerance levels.
- Track completion of scheduled counts and promptly report missed, delayed, or inaccessible count assignments.
- Support periodic wall-to-wall physical inventories and year-end or special inventory counts as required.
Inventory Reconciliation & Variance Investigation
- Compare physical inventory quantities against applicable ERP, WMS, POS, inventory management, and regulatory system records.
- Research shortages, overages, incorrect locations, duplicate records, unit-of-measure errors, unposted movements, receiving errors, transfer errors, damaged inventory, and other causes of variance.
- Review receiving, transfer, production, sales, adjustment, waste, and movement records when investigating discrepancies.
- Perform independent recounts and location searches before recommending inventory adjustments.
- Document the identified or probable root cause of material inventory discrepancies.
- Escalate unexplained, recurring, high-value, or compliance-sensitive discrepancies to Supply Chain, Compliance, Finance, or operational leadership as appropriate.
- Maintain a clear audit trail for counts, recounts, investigations, approved adjustments, and final resolution.
Cannabis Inventory & METRC Reconciliation
- Perform physical counts of regulated cannabis inventory and compare results to internal inventory systems and METRC.
- Verify package identifiers, product descriptions, quantities, weights, units, locations, and inventory status.
- Identify discrepancies between physical cannabis inventory and METRC or internal system records.
- Immediately escalate potential compliance concerns.
- Support investigations involving package, transfer, waste, production, adjustment, and inventory movement discrepancies.
- Maintain organized documentation supporting cannabis inventory counts and approved corrections.
- Support CRA inspections, internal compliance reviews, and inventory audits by producing accurate count and reconciliation records.
Non-Cannabis Inventory Control
- Count and reconcile packaging, labels, containers, hardware, retail supplies, production materials, cultivation supplies, marketing materials, office supplies, and other non-cannabis inventory.
- Verify item numbers, descriptions, quantities, units of measure, storage locations, and inventory status.
- Identify obsolete, damaged, misplaced, unlabeled, or improperly stored inventory and route findings for correction.
- Support accurate perpetual inventory records for non-regulated materials throughout Gramazon / DACUT operations.
Inventory Accuracy & Reporting
- Maintain cycle count logs, variance reports, reconciliation records, and inventory accuracy metrics.
- Prepare daily, weekly, and monthly reporting on count completion, inventory accuracy, adjustment activity, unresolved variances, and recurring error trends.
- Identify locations, SKUs, departments, processes, or transaction types generating repeated discrepancies.
- Provide factual inventory data to Supply Chain and operational leadership to support corrective action and process improvement.
- Assist in establishing count frequencies based on inventory value, movement, risk, regulatory sensitivity, and historical variance.
Root Cause & Process Improvement
- Look beyond the count difference to determine why inventory records became inaccurate.
- Partner with Receiving, Shipping, Warehouse, Retail, Cultivation, Processing, Sales, Compliance, and Accounting to trace inventory errors to their source.
- Recommend process corrections when recurring discrepancies are tied to receiving, transfers, item setup, transaction timing, storage practices, production reporting, or system use.
- Verify that corrective actions are effective through follow-up counts and trend monitoring.
- Support standardized inventory-control procedures and consistent counting practices across locations.
Cannabis & Non-Cannabis Inventory Scope
Cannabis inventory may include flower, pre-rolls, concentrates, infused products, packaged products, bulk cannabis material, work-in-process inventory, and other regulated cannabis products or materials.
Non-cannabis inventory may include packaging, labels, containers, hardware, retail supplies, production materials, cultivation supplies, marketing materials, and other purchased or internally controlled goods.
Regulatory requirements vary by inventory type, but accurate physical counts, reliable system records, documented reconciliation, and controlled adjustments are required across all inventory categories.
Qualifications
Required
- High school diploma or equivalent.
- 13 years of experience in inventory control, cycle counting, warehouse operations, materials management, manufacturing, supply chain, or a comparable role.
- Demonstrated ability to perform accurate physical inventory counts and reconcile results to system records.
- Strong mathematical, analytical, and problem-solving skills.
- High attention to detail and ability to recognize patterns and inconsistencies in inventory data.
- Experience using spreadsheets and computer-based inventory systems.
- Ability to independently investigate discrepancies and clearly document findings.
- Strong organizational and recordkeeping skills.
- Ability to work independently across multiple departments or inventory locations.
- Clear written and verbal communication skills.
Preferred
- Cannabis industry inventory or compliance experience.
- Hands-on Michigan METRC experience.
- Experience with LeafLink, Dutchie, ERP, WMS, POS, barcode scanning, or comparable inventory platforms.
- Automotive, manufacturing, distribution, pharmaceutical, food production, or other high-control inventory experience.
- Experience with perpetual inventory systems, ABC cycle counting, blind counts, tolerance-based recounts, and physical inventory procedures.
- Experience researching inventory adjustments and performing root-cause analysis.
- Intermediate Microsoft Excel or Google Sheets skills, including filters, lookups, sorting, and basic data analysis.

- Inventory Accuracy: Physical inventory consistently agrees with system and regulatory records within established tolerances.
- Count Completion: Scheduled counts and required recounts are completed accurately and on time.
- Variance Resolution: Discrepancies are investigated, documented, and routed to resolution rather than simply adjusted away.
- METRC Alignment: Regulated cannabis inventory is routinely verified against METRC and internal system records.
- Adjustment Control: Inventory adjustments are supported by documented count results and follow approved authorization procedures.
- Root-Cause Identification: Recurring discrepancies are traced to process or transaction failures and communicated for corrective action.
- Audit Readiness: Cycle count records, variance investigations, and reconciliation documentation remain organized and readily available.
- Data Integrity: Inventory reports accurately reflect count activity, unresolved variances, and inventory accuracy trends.

Role Governance & Internal Controls
The Cycle Count Administrator functions as an independent inventory verification point. Whenever practical, the employee performing the count should not be the same person who originally received, transferred, issued, produced, or adjusted the inventory being verified.
The Cycle Count Administrator may document and recommend inventory corrections but should not independently approve material inventory adjustments outside established company authorization limits.
Significant, unexplained, recurring, or compliance-sensitive variances must be escalated for review.
This role works closely with the Supply Chain Manager and maintains strong working relationships with Compliance, Accounting, Retail, Cultivation, Processing, Warehouse, and other inventory-owning departments.

Strong candidates may come from cannabis inventory control, automotive materials, manufacturing cycle counting, distribution centers, warehouse inventory control, parts operations, pharmaceutical or food production, or other environments that rely on perpetual inventory accuracy.
Candidates without prior cannabis experience should still be considered when they demonstrate disciplined cycle-counting practices, strong ERP/WMS skills, objective variance investigation, and the ability to learn METRC and Michigan cannabis inventory requirements.
