Position Overview

As the first point of contact for our clients, our Care Coordinators play a vital role in creating a compassionate and professional experience for both pet owners and their beloved animals. You'll work closely with our medical staff to ensure seamless communication, comfort, and support—especially during stressful or emergency situations. Within the veterinary field, this position aligns closely with roles often titled Veterinary Receptionist, Customer Service Representative, or Client Care Specialist.

This position involves a variety of administrative and client-facing responsibilities , helping keep our hospital running smoothly while maintaining the highest level of service and care.

Note: Emergency Care Coordinator shifts primarily include evenings, weekends, and holidays.

Key Responsibilities

• Provides excellent customer service in-person, over the phone, and during high-stress situations.
• Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
• Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
• Assists with medication pickups, inquiries, and provides information about services and products.
• Inputs and manages data in practice management software, including billing and accounts.
• Assists with retail sales, weighing pets, processing faxes, and maintaining records.
• Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Who We're Looking For

An ideal candidate will have:

• 18 years of age or older to be considered for this position
• At least 1 year  of experience in customer service, reception, or administrative work required
• A  positive, can-do attitude and a passion for providing an exceptional client experience
• Strong emotional intelligence and professionalism under pressure
• Excellent written and verbal communication skills
• A genuine love for pets and their families
• The ability to sit, stand, bend, and kneel as needed, and lift up to 25 lbs unassisted

Schedule

• Part-Time (less than 30 hours per week)
• 2 openings for Saturday and Sunday from 7am to 5pm
• 1 opening for Thursday, Friday, Saturday, and Sunday from 5pm to 2am

Pay Range

$16.20—$19.80 USD
