THC - Outreach Specialist (Administrative Assistant III) 26-2100-70

Job Title Outreach Specialist (Administrative Assistant III) – THC Organization Texas Historical Commission Job Objective Performs complex administrative support work, including moderately complex consultative services and technical assistance for the French Legation State Historic Site. Plans, develops, and implements outreach programming for institutions, government agencies, community organizations, and the public to promote the site’s history, increase visitation, and encourage stakeholder participation. Essential Duties Create and maintain social media, website, newsletters, and other public‑facing media. Coordinate and monitor outreach programs and projects. Support collaborations and partnerships with organizations reaching diverse audiences. Support planning, development, and implementation of programs. Update online and print event and program listings to promote outreach. Monitor and evaluate social media and other tools for engagement performance and effectiveness. Communicate with the public and organizations to promote interest and coordinate awareness. Perform project work, such as coordinating activities, monitoring program outcomes, documenting and reporting progress. Create and implement community surveys to obtain feedback on programming needs. Build strong relationships with community collaborators for current and potential programming opportunities. Develop, oversee, and evaluate public‑facing programs that enable diverse audiences to engage with the site’s history, collections, exhibitions, and initiatives. Assist front counter duties: revenue handling, admission, ticketing, retail sales, phone calls, visitor interactions. Recruit, train, and schedule volunteers for the site. Provide quality customer service to visitors, community workers, friends, members, and the public via telephone and email. Welcome visitors and be familiar with the site’s history, architecture, exhibits and attractions. Assist with on‑and off‑site events. Open and close site facilities as required. Assist Friends of the THC events. Assist educator/interpreter with programming, including tours and special events. Provide backup telephone and administrative support as needed. Adhere to established work schedule and attendance. Follow all safety guidelines, procedures, and ethics requirements. Non‑essential Duties Perform other duties as assigned. Minimum Qualifications Graduation from an accredited four‑year college or university with a degree in communications, history, public history or public relations, museum studies, or a closely related field. Minimum one‑year work experience in a museum, historic site, or public‑facing cultural organization. Experience in general clerical, cash handling, sales, inventory, and reporting. Ability to maintain the security or integrity of critical infrastructure. Valid driver’s license with an acceptable driving record and ability to drive a state vehicle. Required to travel up to 20% of the work period. Preferred Qualifications Experience working in an outreach capacity. Experience creating newsletters and marketing materials. Experience with social media. Experience with educational programming. Knowledge, Skills, and Abilities Knowledge of office practices and administrative procedures. Effective verbal and written communication, human relations, and organizational skills. Customer‑service excellence to internal and external customers. Ability to identify program performance measures. Skill in operating a personal computer with word processing, database, and spreadsheet software.Ability to follow established security and safety guidelines and procedures. Self‑motivation, cooperative decision‑making, and ability to work with diverse groups. Ability to work under pressure, meet deadlines, and maintain attention to detail. Ability to multi‑task in a fast‑paced environment. Ability to adapt quickly to change and deliver quality results in a timely manner. Ability to plan, organize, work independently, and with team members. Ability to exercise sound judgment and discretion. Ability to maintain confidentiality. Registration, Certification, or Licensure Must have or obtain a valid driver’s license and complete a Defensive Driving Course to operate state vehicles. Environment and Physical Conditions The workplace is a historic site, office, and outdoor settings with exposure to high temperatures, weather, dust, insects, and pollution. The employee typically works irregular hours beyond 8:00 a.m. to 5:00 p.m., with days off other than Saturdays, Sundays, or holidays. The position may involve walking, standing, pulling, pushing, kneeling, stooping, bending, and lifting up to 30 pounds. Walking on uneven pathways and unpaved surfaces is common.
