Product Programs Specialist

Job Summary

The Product Program Specialist provides operational and administrative support for the council’s annual Cookie Program and Fall Product Program. This position serves as the primary administrator for the Council’s product sales systems, ensuring accurate data management, timely processing of information, and effective support for volunteers, girls, and staff. Working closely with the Director of Product Programs, this role helps execute successful product programs by managing backend operations, coordinating communications, supporting training, and delivering excellent customer service.

Job Responsibilities

• Assist in the planning, coordination, and execution of the annual Cookie Program and Fall Product Program.
• Serve as the primary administrator for council product sales platforms (eBudde, Digital Cookie, M2) executing tasks such as managing troop and volunteer set up and importing to the system, verifying and maintaining data accuracy across systems, assist volunteers with system issues, processing corrections to accounts as needed.
• Provide oversight to all product/reward deliveries, this includes but not limited to duties such as coordination with trucking company, site selection/confirmation, volunteer recruitment, site security, scheduling pick-ups, and all related duties to ensure delivery of Product Programs inventory to troops, SU and council. 
• Respond to inquiries related to system access, ordering, rewards, financial processes, and program procedures.
• Coordinate logistics for volunteer training and webinars.
• Assist in onboarding new Product Program volunteers.
• Support delivery of in-person and virtual trainings.
• Support financial reconciliation by preparing reports and verifying data accuracy.
• Assist with product inventory reconciliation and program wrap-up activities.
• Partner with Membership, Finance, Volunteer Support, and Girl Experience teams to ensure successful product program operations.
• Assist with council events related to product programs.
• Support additional projects assigned by the Director of Product Programs.
• Work some nights and weekends (Saturdays during Cookie Season are required).

Qualifications

Required

• Associate’s degree or equivalent experience.
• Two years of administrative, customer service, or program coordination experience.
• Strong organizational and project management skills.
• Excellent attention to detail and accuracy.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite, particularly Excel.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Strong customer service orientation.

Preferred

• Experience administering databases or CRM systems.
• Experience with Salesforce.
• Experience with eBudde, M2, or similar sales management platforms.
• Experience working with volunteers or within nonprofit organizations.
• Knowledge of Girl Scout Product Programs.
