Scheduling Coordinator/Receptionist – Full Time, On-Site | Downtown Campbell

We’re growing and looking for a Scheduling Coordinator/ Receptionist who wants to be part of something meaningful.

As the first face and voice of Hepner & Pagan, LLP, you set the tone for the entire client experience. You’re the person who greets someone on potentially one of the hardest days of their life—and you help them feel supported the moment they walk through our door or call our office.

This is a full-time, in-office role in the heart of Downtown Campbell.

What You’ll Do

• Welcome clients and visitors with a genuine, friendly presence
• Answer phones, route calls, and manage appointment scheduling with accuracy and care
• Maintain a polished, organized front desk and lobby area
• Handle incoming/outgoing mail and correspondence
• Keep client files and calendars organized and up to date
• Support the team with clerical and administrative tasks that keep our firm moving smoothly
• Be a constant source of calm, professionalism, and positivity

Who You Are

• You have excellent phone etiquette and take pride in creating a strong first impression
• You’re organized, detail-oriented, and great at juggling multiple tasks
• You communicate clearly, compassionately, and professionally
• You provide exceptional customer service—even on tough days
• You’re tech-comfortable (Microsoft Office, basic office systems, etc.)
• You thrive in a fast-paced environment with a supportive, all-female team
• Prior receptionist or administrative experience is preferred, but not required

Compensation: $25.00 per hour. to start.
