Legal & HR Coordinator

The Legal & HR Coordinator directly supports the Legal Team and the Director of People & Culture, keeping contracts, legal documents, payroll and benefits running accurately and on time. This role owns the contract lifecycle, prepares agreements from approved templates, maintains legal records and templates, and administers payroll and benefits for our team. The coordinator works closely with Legal and People & Culture leadership and handles confidential information with discretion and care. An ideal candidate for this role is highly organized, pays attention to details, and has experience working with tracking systems and spreadsheets. This role is a full time, remote, salaried, and exempt position. The salary range is 75,000-90,000 depending on experience. Additionally, benefits will include medical, dental, vision, long term disability, short term disability, and 401k match. Key Responsibility Areas: Legal Contract Management including intake, routing for counsel review, change tracking, execution and renewal tracking Maintain an organized, accurate and secure system for contracts, legal records and corporate documents, ensuring files are complete and easy to retrieve Manage and update the library of legal templates (e.g., NDAs, vendor agreements and service agreements), ensuring the most current approved versions are in use Coordinate document execution, including preparing signature packets, routing for e-signature and collecting and filing fully executed copies Track key contract dates, obligations and renewals, alert the General Counsel and relevant stakeholders in advance, and follow up to drive open items to completion Serve as a point of contact for internal teams with questions about contract status, templates and legal document requests Handle confidential and privileged materials with discretion and in compliance with company policies Prepare first drafts of agreements from approved templates, and conforming edits and redline comparisons, for counsel review Set priorities and deadlines for the contract queue based on business urgency and risk Coordinate with the General Counsel on outside counsel invoices Recommend and implement improvements to legal intake and contract workflows HR Administer payroll processing, including entering and verifying time, pay changes, new hires and terminations, and coordinating with the payroll provider Review payroll reports for accuracy and help resolve discrepancies in a timely manner Administer employee benefits, including new hire enrollment, qualifying life events, open enrollment support and terminations Serve as a resource for employees with payroll and benefits questions, escalating complex issues to the Director of People & Culture as needed Maintain accurate employee records and HR files in compliance with company policies and data privacy regulations Coordinate with carriers, brokers and vendors on billing, reconciliation and plan administration Prepare offer letters and employee contracts Support the Director of People & Culture with HR administrative tasks, reporting and process improvements, including recommending updates to HR administrative procedures #J-18808-Ljbffr Shadowbox Studios
