Position Summary


This position is responsible for processing and maintaining accounts payable transactions for the school district. This position ensures invoices, purchase orders, payments, and related financial records are processed accurately, timely, and in accordance with district policies, accounting procedures, and applicable regulations.

Essential Duties

• Review, verify, and process invoices for goods and services purchased by the district.
• Match invoices with purchase orders, receiving documentation, and appropriate approvals.
• Enter accounts payable transactions accurately into the district's accounting system.
• Prepare and process checks, electronic payments, and other disbursements.
• Maintain accurate vendor records, including tax information and payment details.
• Respond to questions from vendors, schools, administrators, and district staff regarding invoices and payments.
• Research and resolve discrepancies involving invoices, purchase orders, receiving records, and payments.
• Reconcile vendor statements and accounts payable records.
• Monitor outstanding invoices and ensure payments are made according to established schedules.
• Maintain organized electronic and paper records in accordance with district record-retention requirements.
• Assist with month-end and year-end closing procedures.
• Prepare reports and documentation for accounting, budgeting, and auditing purposes.
• Ensure transactions comply with district policies, purchasing procedures, and applicable state and federal requirements.
• Protect confidential financial and vendor information.
• Possess and practice strong interpersonal skills with a wide variety of people both inside and outside the school district.
• Be a positive team builder who works in a collaborative manner.
• Perform other accounting and administrative duties as assigned.

Required Qualifications


Education:


High School Diploma or equivalent

• Skills/knowledge:

• Strong attention to detail
• Ability to maintain organized financial records and meet deadlines
• Problem-solving and analytical skills
• Professional communication and customer-service skills
• Ability to work effectively with school district staff, administrators, and vendors.
• Proficiency with Microsoft Excel, Word, email, and accounting or financial-management software
• Ability to maintain confidentiality and exercise sound judgement
• Knowledge of accounts payable procedures, purchase orders, invoice processing, and basic accounting principles
• Ability to manage multiple priorities

Health & safety requirements (if applicable):

• Ability to sit and work at a computer for extended periods.
• Ability to frequently use a keyboard, computer, telephone, and other standard office equipment.
• Ability to occasionally lift or move files, boxes, or office supplies as required.

Preferred Qualifications

• Coursework or an associate degree in accounting, business, or a related field
• Previous accounts payable, bookkeeping, accounting, or financial office experience
• Experience working in a school district business office or other public-sector environment

Salary & Benefits


Wage/salary range:


$28.65-$34.74

Clarkston School District offers a competitive benefits package to employees who work half-time or more. These benefits are administered by the Washington State Health Care Authority/Public Employee Benefits Board.



Medical: Choice of medical plans. Employee cost is dependent upon which plan is chosen and which family members are covered.



Dental: Dental insurance is a mandatory benefit and is free to the employee and family.



Life Insurance: Basic life insurance in the amount of $35,000 is mandatory and is free to the employee. Additional/optional life insurance can be purchased at an additional cost for the employee and family.



Long-term Disability Insurance: Basic long-term disability insurance is optional for an additional cost.
