Medical Services Coordinator

Overview LifeStance Health is a mental health care provider focused on helping individuals, families, and communities. This position supports medical care coordination and patient and clinician services across in-person and remote settings. Responsibilities Operational Excellence: Create a positive work environment, be a culture carrier, and support in-office clinician and staff engagement activities to promote LifeStance Health culture, engagement, and connection. Provide strong customer service, respond quickly and appropriately to patient needs, and be prepared to manage potentially difficult or emotional situations. Communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction. Patient Support: Assist psychiatric clinicians with medical care needs including prior authorizations, lab orders, letters for patients, records requests, and coordination of patient forms (e.g., FMLA). Facilitate communication between the patient, medical staff, and the patient’s pharmacy. Manage phone systems by answering the medical services line and providing patient support with medication questions, refill requests, release requests, appointment reschedules, and other inquiries. Ensure accuracy of patient pharmacy information in the medical record. Scan all correspondence into the patient’s EHR. Assist patients with telehealth access, Patient Portal issues, and other troubleshooting. Immediately handle urgent requests, triage issues, and route to correct departments or escalate when needed. Assist in coordinating external referrals for patient care. Clinician Support: Provide general clinician support by assisting with administrative duties such as sending letters and faxes, and coordinating with clinicians regarding additional patient questions. Aid psychiatrists or clinicians in termination processes for patients when needed (e.g., termination letters, external referrals, AMD status). Qualifications Ability to multitask and prioritize duties to deliver high-quality patient experience. Ability to work independently and as part of a team. Strong written and verbal communication skills. Proficient in computer software applications (Microsoft Office and EMRs). Comfortable handling sensitive and confidential information (HIPAA). Education and Experience High school diploma or equivalent required; associate or bachelor’s degree preferred. 1+ years of experience in healthcare operations, customer service, or a similar role or setting preferred.
