Proposal Coordinator

Manage all aspects of production and formatting of government proposal response documentation. Documents range from a few pages to multi-thousand. Proposals & Production: Use advanced MS Word features, create solicitation-specific templates, and format response documents as a Desktop Publisher. Serve as the production central point of contact for the proposal team and track publication schedules and deadlines in collaboration with Proposal Management. Documentation & Tools: Maintain and customize proposal tools and templates; gather and communicate information on document layout and production process; ensure version control in coordination with Graphic Designers. Submission & Coordination: Prepare documents for review/final submission (formatting in MS Word, Excel, and PDF); communicate with vendors to secure supplies and ensure on-time completion of document reproduction; prepare the proposal for book check and assist with the process; package the proposal for shipment and track delivery. Team & Adaptability: May take on additional responsibilities for smaller proposals or presentations (e.g., gather baseline documents, complete forms); participate in meetings to align on production needs and represent the Production function; support other production staff as needed to meet deadlines. Work Arrangement: This is a hybrid position with mostly remote work and one day per week in the office; additional in-office time may be required to support scheduled production efforts. Other duties: As assigned. Minimum Education, Skills, and Experience Advanced knowledge of MS Office applications, especially MS Word and MS Excel. Knowledge of MS Project and MS SharePoint is a plus. Strong attention to detail, ability to prioritize, and sense of urgency in a deadline-driven environment. Ability to read and follow specific instructions to produce documents with minimal errors and high precision for multi-million-dollar proposal responses. Strong organizational and communication skills (written and verbal); ability to multitask. Proofreading skills, resilience under stress, and willingness to collaborate with others and take on additional responsibilities to achieve best outcomes. Willingness to work extended hours and assist other production staff as a team player. Basic familiarity with graphics programs is desirable but not required. Very dependable with excellent customer service skills. Able to lift and move items up to 40 pounds. Bachelor’s degree or 2 years of experience in document production and control, or equivalent experience. Hybrid Working Conduent operates as a hybrid organization. Pay transparency: salary range may vary by location, experience, and performance; eligible for bonuses or incentives where applicable. Estimated salary range: $74,000 – $97,000.
