Financial Aid Representative Class III – Financial Aid Representative Primary Function To participate as a member of the Financial Aid Office team to achieve the goals of the department and the College. Responsibilities Process and review financial aid applications, supporting documentation, and action items to ensure compliance with federal, state, institutional, and program regulations, while assisting with financial aid packaging and awarding as needed. Process verification documents, eligibility determinations, student loan certifications, disbursements, work-study review and awarding, along with case requests submitted by external agencies requiring financial aid review and processing and other items as required and other reporting as needed. Counsel students and families on financial aid programs, application procedures, verification requirements, eligibility criteria, satisfactory academic progress, loan options, and available funding resources. Coordinate and process financial aid-related communications, materials, correspondence, and documentation, while providing responsive customer service to students, families, and campus partners through in-person, telephone, and electronic communication. Collaborate with internal departments and external agencies to facilitate accurate and timely processing, awarding, and disbursement of financial aid. Coordinate administrative functions, including purchasing activities, payment requests, supply management, mail distribution, and the preparation of financial aid materials and publications. Supervise, train, and provide directions to student employees by assigning work, monitoring productivity, and ensuring quality customer service. Support departmental operations through participation in special projects, audits, reporting requirements, compliance initiatives, and process improvement efforts as assigned by the Director of Financial Aid. Perform other duties and assume additional responsibilities as assigned in support of the mission and goals of the Financial Aid Office and the College. Organizational Relationships Reports to the Director of Financial Aid and is responsible for the performance of assigned duties and responsibilities. Performance Standards Performance is considered satisfactory when: Assigned responsibilities are carried out effectively to ensure the efficient operation of the Financial Aid Office. Positive and collaborative working relationships are maintained with colleagues, students, families, state and federal agencies, and members of the College community. Qualifications Education: Associate degree required. Relevant education and/or experience that demonstrates the ability to successfully perform the essential duties of the position may be considered. Knowledge, Skills, and Abilities: Ability to use technology systems and software to support financial aid operations. Proficiency with Microsoft Office Suite, spreadsheets, databases, and other College-standard software applications. Strong oral, written, and interpersonal communication skills. Excellent organizational and time management skills with strong attention to detail. Ability to maintain a high level of confidentiality and exercise sound judgment when handling sensitive information. Ability to work independently and collaboratively as an effective member of a team. Experience: Minimum of two years of related experience, preferably in financial aid, higher education, or a comparable administrative environment. The report also contains information about crime statistics for the three most recent calendar years concerning reported crimes that occurred on campus; in On-Campus Student Housing Facilities; in Non-Campus buildings or property owned or controlled by the College or a recognized student organization; and on public property within, or immediately adjacent to and accessible from, the campus. The report also contains fire statistics for any fires occurring in an On-Campus Student Housing Facility during the three most recent calendar years. A paper copy will be provided upon request.
