Part-Time/Full-Time Office Manager, Sales & Marketing Assistant

Donatello Electric is looking for a dependable, organized, and professional Part-Time/Full-Time Office Manager, Sales & Marketing Assistant to help keep our day-to-day office operations running smoothly while also supporting our marketing efforts.

The ideal candidate is organized, professional, detail-oriented, comfortable communicating with customers and vendors, able to multitask, and able to stay calm when schedules and priorities change. This person should be a quick learner who takes initiative and understands that every phone call, email, and interaction reflects our company. Background in the electrical industry is a huge plus and could lead to a full-time position with sales.
Office, Sales & Administrative Responsibilities

• Manage job-related permits from start through completion, including communicating with customers and municipalities, maintaining detailed records, submitting required paperwork, coordinating scheduling, providing updates and documentation, and following up to keep permits moving forward
• Schedule and book electrical jobs and manage a detailed, constantly changing calendar for electricians
• Answer and manage incoming calls from customers, vendors, and other contacts
• Professionally communicate with customers, help identify and prioritize service requests, and gather information needed to schedule jobs
• Communicate job details, updates, and scheduling changes to electricians and the office
• Complete and maintain paperwork including work orders, invoices, paid-in-full receipts, and other job documentation
• Maintain organized customer, job, receipt, and business records
• Receive, organize, and file paperwork and information from customers, vendors, and electricians
• Correspond with customers regarding scheduling, job details, photos, paperwork, and other business needs
• Follow established procedures, maintain and document processes, identify opportunities to streamline workflows, and make recommendations for continued process improvement
• Assist with general administrative tasks and handle changing priorities with good judgment and professionalism

Skills & Qualifications

• Previous office, administrative, customer service, electrical, or scheduling experience preferred
• Strong phone communication skills ; experience handling customer or business calls; sales experience is a plus.
• Excellent written and verbal communication skills
• Strong email, organizational, time-management, and problem-solving skills
• Strong attention to detail and ability to multitask
• Ability to gather information quickly and make appropriate decisions when scheduling or coordinating jobs

Position Details

Position: Part-Time/Full-Time Office Manager, Sales & Marketing Assistant
Location: In-Office – Lombard, IL
Schedule: Flexible for Part-Time or Full-Time (days and times may be discussed)
Experience: Office administration, customer service, scheduling, sales, electrical or related experience preferred
