Job Summary:
The Dental Clinic Manager provides oversight, monitoring, and reporting of daily dental operations and staffing.
Supervisory Responsibilities:
Directly supervises the Dental Assistants.
Duties/Responsibilities:
- Provides dental office management and administration of personnel.
- Assumes responsibility for the performance of dental operations on a day-to-day basis.
- Ensures the day-to-day functional necessities are in place that are needed to operate.
- Assumes responsibility for OSHA and HIPAA compliance and communicates requirements to dental staff.
- Recruits, trains, supervises, and evaluates dental assistants and support staff.
- Develops and implements a clinic staffing structure that optimizes program efficiency and maintains customer service and quality assurance.
- Maintains communication with all dental staff through use of group and individual meetings.
- Provides administrative oversight for dental operations.
- Assures that day-to-day business is conducted in a professional manner and is in conformity with current standards of affiliation and current dental standards.
- Ensures the necessary permits are in place that are needed to operate.
- Oversees and implements the system for reviewing, analyzing, and evaluating operations as directed by the COO or Designee.
- Participates in annual planning activities, grant development and implementation activities, and required reporting.
- Provides financial services.
- Assists in the development, implementation, and revision of individual treatment plans.
- Educates patients/families/caregivers about treatment processes and ensures guardian of minor or incapacitated adults the required consent forms in order to proceed with treatment if so chooses.
- Reviews, balances, and closes daily walk-outs to ensure accurate claim submissions and account balances.
- Identifies patients’ insurance coverage or other sources for payment of services or the application of sliding fee schedules.
- Takes the lead in working with the billing company in processing vouchers and bills.
- Reviews, balances, and closes daily postings before claim submissions.
- Monitors Dentrix Reports.
- Assists in UDS Reporting and preparation of cost report for Medicaid and Medicare.
- Assists in the internal audit process.
- Reviews laboratory reports and fee schedules.
- Supports/assists Dental Program Manager in coordination of Mobile Dental Clinic.
- Performs other duties as assigned.
Duties 1 through 4 are designated as ADA Essential Functions and must be performed in this job. All other job duties are secondary functions.

- Ability to efficiently carry out Midtown Health’s Center mission statement and comply with its policies and procedures.
- Ability to establish and maintain effective working relationships with patients, co-workers, and the public and to be able to demonstrate cultural awareness and sensitivity.
- Must be able to maintain strict confidentiality of sensitive information in accordance to HIPAA regulations.
- Ability to comply with all occupational safety and health standards and all rules, regulations, and orders issued under the Occupational Safety and Health Act (OSHA).
- Ability to utilize critical thinking and problem solving skills to address clinic’s needs.
- Ability to interpret oral and written instructions and do appropriate follow-up.
- Ability to work independently and as a team member.
- Must have exceptional time management and organizational skills.
- Ability to constructively participate in quality improvement efforts.
- Ability to actively participate in marketing and outreach activities when requested and emergency response events when required.
- Bilingual (English/Spanish) verbal and written skills highly desired.
- Ability to supervise multiple staff and positions.
- Must have knowledge of bookkeeping and office functions.
- Ability to proficiently navigate Dentrix system.
- Knowledge of and ability to use Excel software applications.
Education and Experience, Licensure and Certification:
- Associates degree in Administration, Office Management, or a related field required.
- Two years of supervisory experience in a dental office setting required.
- Must have a valid driver’s license and the ability to utilize own transportation for work purposes.
