Lead Medical Assistant

Job Summary Provides assistive care to research patients and the Clinical Trials team, assisting with clerical and administrative functions as a multi‑skilled auxiliary worker. Required Qualifications Must be fluent in English with advanced written and verbal medical terminology. Demonstrated phlebotomy skills. Demonstrated interpersonal communication skills. Knowledge of medical terminology and non‑invasive diagnostic equipment (blood pressure cuff, stethoscope, ophthalmoscope, otoscope) and an excellent understanding of a basic physical examination. Excellent desktop computer skills. Hands‑on experience in a procedure‑based medical environment. 2–3 years prior experience in a medical office environment. Knowledge of medical terminology and various types of medical testing equipment or devices. Ability to communicate effectively with patients and staff. Medical Assistant Certificate from an accredited course of study, or other relevant healthcare profession (e.g., nursing). Preferred Qualifications Prior clinical research experience (helpful, but not required). BLS certification. Key Responsibilities Performs all responsibilities as delegated by University Research administration and individual Principal Investigators. Coordinates and participates in investigator/study team meetings. Protocol Management: Develop and coordinate subject treatment schedule, space, and supplies with appropriate personnel. Recruit subjects for assigned studies, including determining subject population availability via chart reviews, advertising venues, and reviewing study information with potential subjects. Manage subject data records and regulatory binders. Coordinate subject visits, collect blood, process specimens, ship specimens, and document medication dispensing, supplies, and incentives. Complete investigational product accountability documentation. Manage data collection and ensure all adverse events are identified and reported appropriately. Enter required data on paper, spreadsheets or electronic CRFs, audit records for accuracy, resolve discrepancies, and correct as necessary. Coordinate visits with external monitors and internal quality assurance to assure compliance with protocol, SOPs, regulations, and guidelines. Collect, organize and maintain all essential documents required for study regulatory files. Ensure research equipment is properly maintained and calibrated. Monitors the progress of research activities; develops and maintains records of research activities and prepares periodic and ad‑hoc reports as required by investigators, administrators, funding agencies, university, and/or regulatory bodies. Be flexible in work hours as required by the specific study. Travel to outside clinics, hospitals, or meetings as required for individual studies. Other duties as assigned. Providing outreach and information to potential research participants and referral sources in the community: Familiarize potential subjects with ongoing research studies. Attend community events/health fairs to promote clinical research studies. Reach out to community clinics to promote clinical research. Develop advertising/recruitment materials. Identify opportunities to advertise in the community. Chart review/database search to identify potential research subjects. Serve as a liaison between the community and clinical research. Serve as a resource to clinicians and health‑care staff within and outside the University regarding clinical research. Present to community groups about clinical research opportunities. Medical assistant duties: Prepares patients for examinations and diagnostic procedures, recording vital signs and responses to medical history questions. Reports all observed patient concerns and changes in condition to a licensed staff member. Performs CLIA‑Waved lab tests such as urine dip‑stick, Hgb, Hct, finger‑stick glucose, hemoccults, HCG, A1c and reports results. May perform patient phlebotomies in accordance with clinic policies and physician orders after specialized training. Performs specialty skills such as suture removal and injections and wound care and dressing changes. Acts as a chaperone for health‑care providers during patient examinations. Monitors and cleans assigned patient examination rooms, reports outdated supplies and restocks necessary items. May apply leads and monitor for diagnostic procedures such as EKGs. Travel to patient’s home or group home; may be accompanied by a licensed provider. Answers telephones, forwards messages, schedules appointments and diagnostic tests. Assists in routine clerical functions such as scanning medical information into electronic records and entering charges for billing. Attends mandatory in‑services including orientation, HIPAA, infection control, safety, CPR, equipment usage, and department policies and procedures. Orders supplies and checks for outdated supplies.
