Bookkeeper/Office Manager

We are searching for a collaborative self-starter and experienced Bookkeeper/ Office Manager to join our team. This foundational role supports our mission and staff efforts through excellent attention to detail and communication to ensure accurate recordkeeping, timely payables, internal control process, and cash flow continuity.
This full-time position may be performed remotely up to a majority of the time and is otherwise based at the Eprf Center in Arkville, NY, the Catskill Center’s headquarters. Catskill Center staff work across the region, so most daily collaboration is remote. Limited travel throughout the Catskills region is required. The Bookkeeper/ Office Manager reports to the Accounting Manager. This individual does not have supervisory responsibilities.
Job Responsibilities
This position is responsible for all general bookkeeping and office management functions, including but not limited to the following:
General Bookkeeping:
- Process AP/AR
- Gather receipts and expense information from staff
- Accurately record and assign transactions to expense and fund accounts ● Process and track payments to subcontractors in collaboration with program staff
- Work closely with the Deputy Executive Director and Accounting Manager to determine and apply payroll allocations and expenses to various contracts
- Prepare supporting schedules for government contracts and other restricted funds
- Complete billing / vouchering for numerous contracts and grants ● Processes incoming payments from multiple sources for donations, contract services, site use fees, gift shop sales, etc.
- Coordinate with the Development team to ensure timely contributions and pledges are received and entered in QuickBooks
- Assist with monthly bank and gift shop recon ciliations
- Maintain customer and vendor databases
- Make bank deposits; monitor account activity and cash flow needs ● Maintain and secure financial records on shared and local drives
Payroll & Benefits Administration:
- Process payroll through third-party payroll processor (Paychex) ● Onboard new hires/Off-board departing employees
- Manage benefits enrollments and updates
Office Management:
- Facilitate building and equipment maintenance, including coordinating with contractors for cleaning, mowing/snow plow services, maintenance, and repairs
- Provide clerical support when needed, such as answering phones, sorting and distributing mail, and preparing documents
- Maintain inventory of office supplies; order new supplies as needed ● Maintain office files; implements an efficient system for other staff to access files and records as appropriate
Perform other responsibilities and tasks as assigned
Required Qualifications
Applicants must have a valid driver’s license, access to a reliable vehicle, and be willing and able to pass a background check. Additional requirements include:
- High school diploma or equivalent required; Associate’s degree in Accounting (or similar) preferred
- 3+ years of bookkeeping experience, preferably in the nonprofit sector ● Proficiency and experience with Quickbooks and Microsoft Excel are required ● Excellent grasp of GAAP, basic bookkeeping principles, and office management systems and procedures
- Possession of a Notary license or attainment within 3 months of hire
- Ability to work with minimal supervision in a remote work environment ● Patience and a positive attitude
Physical Requirements
- Ability to sit at a desk and work on a computer for prolonged periods ● Ability to lift up to 15 pounds at a time
- Ability to work occasional evenings and weekends for organizational events
Compensation: Starting salary $46,000-$54,000, based on experience, and comprehensive benefits package including generous paid leave, retirement, and health plan benefits.
