The University of Louisville International Affairs is seeking to hire a Department Coordinator II. Reporting to the Assistant Vice Provost for International Affairs, the Department Coordinator II provides administrative support to International Center leadership. The position is the primary administrative contact at the International Center. The position is responsible for answering general inquiries, assisting in programming and event organization, and collaborating with stakeholders across campus. The position will also answer phone calls and emails, maintain departmental files, make photocopies, inventory and schedule office assets, complete International Center reports as needed, assist departmental coordinators in creating and posting social media content, assist in budget oversight, and supervising and assign work to student employees.

This individual will also serve as a trained Passport Acceptance Agent at the Passport Place @ UofL and assist in a broad array of administrative support services.

Essential Duties and Responsibilities

• Assist the Associate Vice Provost in the day-to-day operation of the unit. Developing agendas for staff meetings, maintaining calendars for the AVP and two directors, purchasing and assist in leading leadership team meetings, and semester planning meetings.
• Serve as primary administrative support contact for the International Center and answer general inquiries that come into the Center.
• Manage departmental files.
• Coordinate office management, including scheduling appointments and reserving rooms, recording minutes from meetings, generating reports, ordering office and printing supplies, inventory departmental assets and submit work orders.
• Assist with the management of International Center budgets and maintaining International Center accounts, reconcile departmental ProCards.
• Support professional staff of the International Center as needed to deliver programming for both Education Abroad and International Student and Scholar Services programming.
• Serve as a trained Passport Acceptance Agent, as needed.
• Other tasks as assigned.

Preferred Qualifications

• Bachelor's degree in a related field and 3 years of work experience.
• Proficiency in another language.

• Technical skills, including Microsoft Office, Outlook, and a wide range of social media platforms.
• Budget coordination experience
• General office management
• Supervision skills
• Ability to work in a fast-paced environment.

Compensation will be commensurate to candidate experience.
