We’re looking for a motivated Service Writer & Parts Assistant to join our fastpaced, multitasking team. In this role, you’ll help maintain company vehicles and equipment, support our service customers from scheduling to completion, and assist our parts department with daily shipping and receiving needs.

The ideal candidate will have working knowledge of automotive systems and the ability to understand how different vehicle components function together. We prefer someone who can perform tasks associated with scheduled services, but we’re willing to train the right person who brings strong initiative and the ability to learn quickly.

Responsibilities:

• Customer Intake & Service: Greet customers, listen to concerns, and ask targeted questions to help technicians diagnose issues accurately.

• Estimating & Quoting: Prepare repair orders, calculate parts and labor costs, and secure customer approval before work begins.

• Communication Bridge: Provide timely updates on repair progress, timeframes, and any additional findings.

• Workflow Management: Schedule service appointments, assign jobs to technicians, and coordinate with the parts department to ensure needed items are available.

• Billing & Records: Review invoices, process payments, and maintain accurate service histories, warranties, and maintenance records.

• Parts Department Support: Assist with shipping, receiving, and organizing parts for company use.

• Routine Service Invoicing: Create and manage invoices for service jobs using QuickBooks.

Requirements:

• Strong understanding of automotive systems, parts, and maintenance procedures.

• Ability to explain complex repairs clearly and recommend preventative maintenance with professionalism and trust.

• Comfortable managing multiple vehicles, calls, and technician needs in a fastpaced environment.

• Experience with QuickBooks and Microsoft Office for preparing work orders, invoices, and records.
