What We're Looking For

We're seeking an Admissions Coordinator who is a confident communicator, skilled relationship builder, and steady presence under pressure — someone who understands that timely follow-up, active listening, and clear communication are what move a family from inquiry to admission.

You bring hands-on experience in healthcare admissions, patient access, or medical sales, along with a working knowledge of levels of care, medical necessity, and payer dynamics. We bring a supportive, mission-driven team ready to help you grow.

Responsibilities

• Serve as the initial and primary point of contact for prospective patients, families, and referral sources via phone, email, and text
• Provide fast, ethical, and precise responses to all incoming inquiries, contributing directly to department metrics
• Conduct intake screenings and gather demographic, clinical, and psychosocial information to support appropriate placement and next steps
• Coordinate and schedule assessments, evaluations, and admissions in collaboration with clinical and medical teams
• Educate patients and families on programs, services, estimated pricing, and next steps with clarity and empathy, encouraging engagement in appropriate levels of care
• Maintain timely, structured follow-up with prospective patients and referral sources to keep the admissions pipeline moving
• Accurately document all inquiries, communications, and lead status in CRM and Electronic Health Record systems
• Support collection of intake documentation, consents, and insurance information prior to admission
• Identify barriers to care and coordinate internally — or facilitate referrals — to help remove them
• Maintain strict adherence to HIPAA, confidentiality standards, and organizational policies

Qualifications

• Minimum of 2 years of experience in admissions, patient access, or medical sales within a healthcare, behavioral health, or mental health setting
• Strong understanding of levels of care, medical necessity, and payer dynamics
• Proven ability to manage a high-volume pipeline with consistent follow-up and attention to detail
• Strong verbal and written communication skills, with the ability to navigate sensitive or high-acuity conversations with professionalism and empathy
• Comfortable working in a fast-paced, goal-oriented environment
• Proficiency with CRM tools, Microsoft Office, and healthcare technology platforms
• Bachelor's degree preferred in healthcare administration, behavioral health, communications, business, or a related field; equivalent experience considered
• Ability to pass background check, drug screening, and TB testing
