Position Summary

St. Gregory the Great Catholic Church is seeking a Supervisor of Facilities and Maintenance. This is a working supervisory position responsible for the hands-on maintenance, repair, and upkeep of parish and school buildings, grounds, equipment, and building systems, as well as the day-to-day leadership of maintenance, custodial, and landscaping operations. A substantial part of the position is performing maintenance work directly, including troubleshooting problems, completing repairs, carrying out preventive maintenance, responding to work orders and facility needs, and participating in improvement projects.

In addition to performing maintenance work, the Supervisor of Facilities and Maintenance oversees assigned maintenance, custodial, and landscaping personnel. This role establishes work schedules, assigns and prioritizes work, monitors quality and productivity, provides technical direction and training, coordinates coverage, and ensures campus buildings and grounds are maintained to established standards for safety, functionality, cleanliness, and appearance.

Reporting to the Director of Facilities & Operations in relationship with the School Principal, the Supervisor of Facilities and Maintenance serves as a primary practical and technical resource regarding facility conditions and maintenance needs. The Supervisor provides input regarding repairs, projects, equipment replacement, contractors, staffing needs, and future maintenance priorities. This job participates in planning and budget deliberations by providing operational expertise, anticipated needs, cost information, and recommendations. Responsibility for departmental budgeting, financial oversight, major contracts, capital planning, and overall facilities strategy remains with the Pastor and Director of Facilities & Operations.

Essential Duties and Responsibilities:

1. Maintenance & Repairs

• Performs hands-on maintenance, troubleshooting, repairs, and preventive maintenance throughout parish and school facilities.

• Performs general repairs involving plumbing, electrical components, carpentry, doors and hardware, fixtures, painting, furniture, equipment, and other building components within the scope of training and experience.

• Responds to work orders, urgent maintenance issues, equipment failures, safety concerns, and other facility needs.

• Performs preventive maintenance and routine servicing of building equipment and systems.

• Participates directly in facility improvements, installations, setups, equipment moves, and other physical maintenance work.

• Determines when work can be completed in-house and when a specialized contractor is needed.

2. Staff Supervision & Scheduling

• Supervises the day-to-day work of maintenance, custodial, and landscaping personnel.

• Develops employee schedules and coordinates coverage for regular operations, absences, special events, seasonal demands, and emergencies.

• Assigns and prioritizes work and ensures responsibilities are completed efficiently and on schedule.

• Monitors employee productivity and the quality of completed work through regular observation and inspection.

• Provides hands-on direction, training, coaching, and corrective guidance to staff.

• Addresses routine performance concerns and works with the Director of Facilities & Operations when further corrective action is necessary.

3. Buildings, Grounds & Campus Operations

• Regularly inspects buildings, grounds, equipment, and building systems to identify maintenance needs, deterioration, hazards, and other concerns.

• Helps ensure campus standards for maintenance, cleanliness, safety, functionality, and appearance are consistently maintained.

• Monitors HVAC, plumbing, electrical, fire/life-safety, security, and other facility systems and coordinates needed service or repair.

• Maintains appropriate inventories of tools, equipment, maintenance materials, and supplies.

• Coordinates facility needs related to parish, school, daycare, ministry activities, special events, and seasonal operations.

4. Contractors & Projects

• Coordinates and monitors assigned maintenance, custodial, landscaping, pest-control, and other facility contractors and service providers.

• Ensures contracted services meet established expectations and reports performance concerns to the Director of Facilities & Operations.

• Provides technical and practical input regarding scopes of work, proposed repairs, materials, equipment, and project methods.

• Assists with facility repair, improvement, renovation, and replacement projects as assigned.

• Monitors work in progress and helps ensure satisfactory completion.

5. Planning, Records & Administration

• Provides the Director of Facilities & Operations with recommendations regarding maintenance priorities, repair-versus-replacement decisions, equipment condition, staffing needs, and anticipated facility needs.

• Participates in departmental planning and budget deliberations by providing operational expertise, anticipated needs, cost information, and recommendations.

• Maintains appropriate maintenance, inspection, equipment, warranty, repair, and service records.

• Helps ensure maintenance operations comply with applicable safety, building, fire/life-safety, diocesan, and other requirements.

• Assists with emergency and after-hours facility response as needed.

• Performs other duties as assigned by the Director of Facilities & Operations in relationship with the School Principal.

Supervisory Responsibility

This is a working supervisory position. The Supervisor of Facilities and Maintenance both performs maintenance work and provides direct day-to-day supervision of assigned maintenance, custodial, and landscaping personnel. Supervisory duties include scheduling, work assignment, setting expectations, monitoring productivity and quality, coaching and training employees, coordinating coverage, and addressing routine performance concerns. The Supervisor also coordinates and monitors the work of assigned contractors and service providers.

Decision-Making Authority

The Supervisor of Facilities and Maintenance has authority to organize and direct routine maintenance, custodial, and grounds operations and to make day-to-day decisions necessary to address maintenance and repair needs within established policies, priorities, and approved resources. Significant expenditures, major contracts, capital projects, compensation decisions, hiring or termination decisions, major disciplinary actions, changes in departmental priorities, and other matters with substantial financial or operational impact are referred to the Director of Facilities & Operations and the Pastor for approval.

Requirements

Qualifications

• Significant hands-on experience of at least 5 years in building maintenance, facilities operations, construction, or a related trade or field.

• Demonstrated ability to perform and troubleshoot a broad range of general building maintenance and repair work.

• Previous supervisory or leadership experience of at least 2 years in a maintenance or facilities environment.

• Working knowledge of HVAC, electrical, plumbing, carpentry, doors and hardware, painting, grounds maintenance, custodial operations, general building repair, tools, and related safety practices.

• Technical education, trade training, professional certification, or college coursework in facilities management, maintenance, engineering, construction, or a related field preferred; equivalent experience may be considered.

• Ability to diagnose facility problems, determine appropriate in-house repairs, recognize when specialized service is required, establish priorities, and make sound operational recommendations.

• Experience coordinating contractors and service providers.

• Strong organizational, communication, leadership, scheduling, and problem-solving skills.

• Ability to balance hands-on maintenance work with supervisory and administrative responsibilities.

• Ability to plan and coordinate multiple maintenance activities and projects simultaneously.

• Ability to work effectively in a parish and school environment and interact professionally with employees, clergy, school personnel, contractors, parishioners, students, families, and visitors.

• Basic proficiency with computers and electronic maintenance or work-order systems.

Physical and Work Requirements

• Ability to perform the physical activities commonly associated with building maintenance and repair, including standing, walking, bending, reaching, climbing, working from ladders, and using hand and power tools.

• Ability to lift, carry, move, and position tools, supplies, equipment, and materials consistent with the essential functions of the position.

• Ability to move throughout a multi-building campus and work in indoor and outdoor environments and around mechanical equipment.

• Ability to respond to facility needs that may occasionally arise outside normal business hours.

• Ability to perform the essential functions of the position with or without reasonable accommodation.
