Position Summary
We are seeking a highly organized, hands-on, self-starting Construction & Property Operations Manager to oversee our growing real estate portfolio and development activities.
This position will serve as the company’s boots on the ground , representing ownership across new construction, development projects, property renovations, and property management activities including but not limited to maintenance, unit turns, and day-to-day property operations. This candidate is comfortable moving between a construction site, rental property, contractor meeting, tenant issue, and office environment in the same day.
The ideal candidate is someone who values autonomy but seeks to understand ownership’s expectation and works diligently and independently to meet it. This dynamic role requires someone who takes ownership of problems, follows projects through completion, manages contractors effectively, and keeps ownership informed without requiring constant direction.
The position will work closely with company ownership and will play an important role in building the systems and processes for our growing property management and real estate development operation. This will be the flagship position in growing the company to a much larger organization which will come with significant earning potential if done successfully.
Primary Responsibilities Construction & Development
· Represent ownership in the field on new construction and development projects.
· Visit active construction sites regularly and monitor progress, quality, schedule, safety concerns, and site conditions.
· Coordinate contractors, subcontractors, suppliers, utilities, inspectors, engineers, and other project participants.
· Review construction progress against plans, scopes of work, budgets, and schedules.
· Identify problems early and work with ownership and contractors to develop solutions.
· Document project progress through photographs, notes, schedules, and written updates.
· Coordinate inspections, punch lists, utility connections, certificates of occupancy, and project closeout.
· Verify work is complete before recommending contractor or vendor invoices for payment.
· Assist ownership with contractor bidding, scope development, and contractor selection.
Renovations & Capital Projects
· Manage property renovations from initial inspection through completion.
· Develop detailed scopes of work identifying required repairs and improvements.
· Obtain and compare contractor and vendor pricing.
· Coordinate multiple contractors and trades.
· Monitor renovation budgets and schedules.
· Verify workmanship and completion of each scope item.
· Maintain photographs and documentation before, during, and after renovations.
· Manage punch lists and final turnover.
· Prepare completed properties for leasing or occupancy.
Property Management & Field Operations
· Show properties to prospective tenants (including weekends)
· Serve as the primary field representative for the company’s rental portfolio.
· Conduct routine property inspections and identify maintenance, safety, appearance, and capital improvement needs.
· Coordinate repairs and maintenance with approved vendors and contractors.
· Respond to property-related issues requiring an on-site presence.
· Inspect completed maintenance work before approving vendor invoices when appropriate.
· Coordinate unit turns between tenants.
· Conduct move-in and move-out property inspections.
· Document property conditions with photographs and inspection reports.
· Monitor exterior property conditions, landscaping, trash, parking, lighting, signage, and general appearance.
· Assist with tenant issues when physical inspection or on-site coordination is required.
· Coordinate access for contractors, inspectors, appraisers, insurance representatives, and other third parties.
Vendor & Contractor Management
· Develop and maintain a dependable network of contractors and service providers.
· Obtain competitive pricing when appropriate.
· Clearly communicate scopes of work, expectations, schedules, and completion requirements.
· Track outstanding work orders and contractor commitments.
· Hold vendors accountable for quality, schedule, and agreed pricing.
· Verify work completion before invoices are approved.
· Identify recurring vendor performance issues and recommend replacements when necessary.
· Help establish standardized pricing and preferred-vendor relationships.
Property Acquisition & Due Diligence
· Assist ownership with evaluating potential acquisitions.
· Conduct physical property inspections and document deferred maintenance.
· Help develop preliminary renovation and capital improvement budgets.
· Meet contractors and inspectors at prospective properties.
· Identify major property concerns involving roofing, HVAC, plumbing, electrical, structural conditions, drainage, site work, and other building systems.
· Assist with obtaining contractor estimates during due diligence.
· Provide ownership with practical field-level input regarding property condition and anticipated repair costs.
Budget & Cost Control
· Track project and renovation spending against approved budgets.
· Review vendor invoices against approved scopes and completed work.
· Identify change orders and additional work before costs are incurred whenever possible.
· Maintain documentation supporting contractor payments.
· Help ownership identify opportunities to reduce maintenance and construction costs without sacrificing quality.
· Report anticipated budget overruns promptly.
Reporting & Accountability
Provide ownership with regular updates showing:
· Active construction projects
· Renovation status
· Vacant units and turns
· Outstanding maintenance issues
· Vendor performance
· Project schedules
· Budget concerns
· Upcoming inspections or deadlines
· Problems requiring ownership decisions
Maintain organized records including photographs, scopes of work, bids, invoices, inspection reports, warranties, contractor information, and project documentation.
Performance Expectations
Success in this position will be measured by the ability to:
· Complete projects on schedule and within approved budgets.
· Reduce unnecessary construction and maintenance costs.
· Minimize property downtime and vacancy during renovations and unit turns.
· Maintain high-quality properties and construction standards.
· Identify problems before they become expensive problems.
· Maintain accurate documentation of work performed and money spent.
· Hold contractors and vendors accountable.
· Resolve routine field issues independently.
· Keep ownership informed without requiring ownership to personally manage every project.
· Develop scalable processes as the property portfolio grows.
Qualifications
Preferred candidates will have experience in one or more of the following:
· Residential or multifamily construction
· Construction project management
· Property management
· Real estate development
· Residential renovations
· General contracting
Additional qualifications:
· Strong understanding of residential construction and building systems.
· Ability to read construction plans, scopes of work, proposals, and contracts.
· Ability to evaluate contractor pricing and workmanship.
· Strong organizational and follow-through skills.
· Comfortable managing multiple projects simultaneously.
· Strong written and verbal communication skills.
· Ability to communicate professionally with tenants, contractors, inspectors, vendors, and ownership.
· Comfortable using smartphones, photographs, spreadsheets, property management software, and project-management systems.
· Valid driver’s license and clean driving record
· Ability to travel regularly between properties and construction sites.
Ideal Candidate
The ideal candidate is a problem solver and operator rather than simply an administrator .
We are looking for someone who sees an issue and takes responsibility for getting it resolved. This person should be comfortable making decisions in the field, managing contractors, inspecting work, communicating with tenants, and keeping multiple projects moving simultaneously.
