Payroll Specialist

Purpose of Position This role is responsible for accurate and timely payroll processing for multiple states, payroll accounting reconciliations, tax compliance, and supporting audits and financial reporting activities. Duties and Responsibilities (Essential) Process weekly and biweekly payrolls for employees across multiple states. Ensure compliance with federal, state, and local payroll tax regulations and labor laws. Maintain payroll records, deductions, garnishments, benefits, and timekeeping data accurately. Reconcile payroll-related general ledger accounts, including wages, taxes, benefits, and accrued liabilities. Prepare and review payroll journal entries and account reconciliations. Coordinate payroll tax filings and resolve payroll tax discrepancies. Manage employee payroll changes including new hires, terminations, promotions, and direct deposit updates. Review, process, and reconcile employee expense reports in accordance with company policies and procedures. Collaborate with Human Resources and Accounting to ensure payroll accuracy and compliance. Assist with year-end payroll activities including W-2 processing, audits, and providing documentation as requested. Maintain confidentiality of payroll and employee information. Identify opportunities for payroll process improvements and increased efficiency. Willingness to provide cross-functional support within the accounting department as business needs require. Serve as a positive contributor to the team by supporting colleagues and effectively executing projects and assignments as needed. Perform other ad hoc projects and administrative duties as assigned to support departmental and organizational objectives. Qualifications Experience Minimum of 2-5 years of payroll accounting experience. Multi-state payroll processing experience is preferred. Experience with payroll and accounting systems is required. Experience with UKG and/or Unanet is preferred. Proficiency in Microsoft Excel and Outlook is required.
