This year-round position generally works 15 - 25 hours per week, depending on seasonal needs and workload. Hours are flexible Monday through Friday between 9:00 a.m. and 5:00 p.m., and the employee is not required to work all five days. Occasional evening or weekend hours may be required to assist with seasonal orientations. Pay Range: $18.00 - $20.00 per hour, depending on qualifications.

Job Summary

The Human Resources Assistant provides clerical and administrative support to the Human Resources Department. Responsibilities include:

• Input new employee information into relevant systems and follow-up on any outstanding or incomplete forms.
• Complete new hire reporting with the Illinois Department of Employment Security.
• Assist with the development, posting, and tracking of online job postings and ensure open positions are communicated to staff.
• Process background checks for seasonal staff and volunteers.
• Assist with onboarding and offboarding either through HRIS system or manual process.
• Assist with tracking time off requests or other timekeeping adjustments.
• Process termination and position change personnel action forms.
• Assist with responding to employee requests for new forms, policy/procedure interpretation, or other HR inquiries.
• Assist with maintaining and updating job descriptions, HR forms, personnel records, training documents, etc.
• Perform filing and periodic audits of HR records and files to ensure compliance with applicable laws, records retention schedules, and proper destruction.
• Obtain and track driving records and updated license information.

This position requires a high level of accuracy, attention to detail, discretion in handling confidential information, and consistent adherence to Park District policies and procedures. Other duties may include assisting with staff recognition, training, and other duties as assigned. This position is at-will.

Qualifications

High school diploma or equivalent required. Coursework or an Associate's degree in Human Resources, Business Administration, or a related field is preferred. 2 years of administrative, office, or human resources experience is preferred. Strong organizational skills, attention to detail, and the ability to maintain accurate and confidential records. Effective written and verbal communication skills, along with a professional and customer-service-oriented approach when interacting with employees and the public. Strong computer skills, including Microsoft Office and the ability to learn and utilize additional software applications; HRIS experience is preferred. Ability to manage multiple priorities, meet deadlines, and adapt to changing workloads and business needs. Bilingual proficiency in English and Spanish is preferred to support communication with Spanish-speaking employees. Dependable, professional, and able to work both independently and collaboratively while exercising discretion with confidential information.
