Guest Experience & Communications Coordinator Full-Time | SkinFusion FX | Altoona, Iowa

SkinFusion FX is a locally owned, growing medical aesthetics practice seeking an exceptional Guest Experience & Communications Coordinator to join our team full-time.

This is more than a traditional receptionist position. You’ll be an important part of the client experience from the first phone call or text through scheduling, check-in, checkout, and follow-up. We’re looking for someone who loves working with people, communicates exceptionally well, thrives in a fast-paced environment, and is looking for a long-term home with our team.

Schedule

Full-time, hourly
Monday–Thursday: 10:30 AM–7:00 PM
Friday: 8:30 AM–5:00 PM
Occasional Saturday in place of Friday

What You’ll Do

You’ll be cross-trained in all front-desk operations, with a primary focus on client communication, lead management, and guest experience.

Responsibilities include:

• Answering phones with warmth, confidence, and professionalism

• Managing client text communication through Weave

• Responding promptly to new inquiries and following up with leads

• Helping prospective clients identify the appropriate consultation, service, or provider and confidently move forward with scheduling

• Scheduling, rescheduling, and confirming appointments

• Communicating appointment requirements and preparation

• Assisting with check-in and checkout

• Helping identify and fill openings in provider schedules

• Working closely with providers and the front-desk team to keep the day running smoothly

• Assisting with inventory, stocking treatment rooms, laundry, light housekeeping, and other tasks as needed

Who We’re Looking For

Previous medical spa or medical clinic experience is required.

• Passionate and comfortable learning about aesthetic treatments, skincare, medical terminology, pricing, policies, and scheduling requirements

• A team player who notices what needs to be done and jumps in to help

• Professional, receptive to feedback, and interested in becoming a long-term member of our team

Social Media Skills Are a Plus!

Strong social media/content creation skills would be a significant bonus. Experience creating Reels, Stories, photos, videos, or other Instagram/Facebook content and familiarity with Canva or video editing apps is a plus. Candidates with content creation experience are encouraged to share examples of their work.

Important: This Is a Long-Term Front Desk Career Role

We are intentionally looking for someone who wants to build a career in guest experience, client communication, lead management, and medical office operations.

This position is not intended as a pathway into an esthetician, nursing, injector, or treatment-provider role. If your primary career goal is to transition into providing aesthetic services, this will not be the right fit.
