Medical Front Desk Receptionist Full-Time Department: Patient Services / Administration Reports To: Practice Manager / Office Manager Location: Tupelo and New Albany Employment Type: Full-Time min 32 hours per week Pay: $16-19/ hour depending on experience Position Summary The Medical Front Desk Receptionist serves as the first and last point of contact for patients and visitors. This position is responsible for delivering a warm, professional, and efficient patient experience while managing a high volume of administrative tasks simultaneously. The ideal candidate is organized, detail-oriented, compassionate, and thrives in a fast-paced medical environment. Key Responsibilities Patient Greeting & Customer Service Greet all patients, visitors, and vendors in a courteous, professional, and welcoming manner upon arrival and departure. Maintain a calm and positive demeanor in a high-volume, fast-paced environment. Address patient questions, concerns, or complaints promptly and engage the appropriate team member when necessary. Phone Management Answer and manage a multi-line phone system in a timely and professional manner. Schedule, reschedule, and cancel patient appointments accurately. Take and relay accurate messages to clinical staff and providers. Return patient calls in a timely fashion and document all communication appropriately. Patient Check-In & Registration Check patients in upon arrival, verifying and updating all demographic information including name, address, phone number, emergency contacts, and primary care provider. Collect and scan copies of government-issued photo ID, insurance cards, and any required consent or intake forms. Ensure all patient registration forms and consents are completed, signed, and filed accurately in the electronic health record (EHR). Notify clinical staff of patient arrivals and communicate any delays or concerns. Insurance Verification Verify active insurance coverage and patient eligibility prior to or at the time of each appointment. Confirm benefits, plan details, in-network/out-of-network status, and referral or authorization requirements. Identify and communicate any insurance discrepancies to the billing team or patient in a timely manner. Update insurance information in the EHR as needed. Copay & Balance Collection Collect patient copays, co-insurances, deductibles, and outstanding account balances at time of service. Process payments accurately via cash, check, credit/debit card, and patient portal methods. Issue receipts and post all payments in the practice management system. Communicate patient financial responsibility clearly and professionally; refer complex billing questions to the billing department. Document Management & Scanning Scan and attach all required documents to the corresponding patient record, including photo IDs, insurance cards, referral letters, outside records, and signed consent forms. Maintain organized physical and electronic filing systems in compliance with HIPAA regulations. Retrieve and prepare patient records and documentation as requested by clinical or billing staff. General Administrative Duties Maintain a clean, organized, and welcoming front desk and waiting area at all times. Coordinate patient flow and communicate wait times proactively. Assist with prior authorizations, referral processing, and appointment reminders as needed. Follow all office policies, HIPAA privacy and confidentiality requirements, and compliance protocols.
