Administrative Assistant / Account Coordinator

MJ Septic is seeking a dependable and detail-oriented Administrative Assistant / Account Coordinator to join our growing team. This is a pivotal role in keeping our office, service team, and customers running smoothly.
What You'll Do
Customer & Service Support
- Be a main point of contact for customers (phone, text, email, chat), providing quick, friendly support.
- Assist with scheduling, dispatching, and coordinating service technicians schedules.
- Troubleshoot customer issues with a proactive, solutions-first mindset.
Contracts & Documentation
- Manage maintenance agreements, renewals, and enrollments.
- Enter and maintain accurate data across work order software, CRM, and QuickBooks.
- Prepare estimates, invoices, and payments with precision.
Team & Office Support
- Support management with administrative tasks, inventory tracking, and ordering.
- Assist with daily office organization (supplies, tidiness, light upkeep).
- Step in when teammates are out to ensure seamless operations.
What We're Looking For
- Experience: At minimum 3 years in an administrative, account coordination, or customer service role. Service/dispatching experience strongly preferred.
- Commitment: A track record of staying with past employers 2+ years we value long-term team members.
- Skills:
- Initiative you don't wait to be asked, you anticipate.
- Ability to stay calm and focused under pressure.
- Excellent customer service and relationship-building skills.
- Strong organizational and time management habits.
- Computer proficiency: Google Suite, QuickBooks Online, CRM/service software. (Experience with ServiceTitan or Salesforce or similar software is a plus.)
- Other: High school diploma (required), Associate's or Bachelor's (preferred). Spanish bilingual skills are a plus.
