JOB DESCRIPTION: Maintenance Supervisor

REPORTS TO: Property Manager

SUMMARY: The maintenance supervisor is responsible for maintaining the association buildings and surrounding areas and overseeing the safety of the community residents and staff. Responsible for department organization, janitorial, and vendor supervision. Accountable for operating equipment, performing repairs, maintenance checks requisitioning supplies and equipment as needed and performing regular daily, weekly, and monthly service checks on equipment, keeping records, etc., in accordance with the Association’s and Seacrest Southwest’s values and mission. This position may require supervisory abilities and leadership.

ESSENTIAL FUNCTIONS:

• Coordinates and provides corrective action for compliance, grounds, and building issues in a timely manner.
• Maintains the building in good repair and free of hazards such as those caused by plumbing, heating, and cooling systems, wear, and tear, etc.
• Maintains the fire alarm and if applicable the emergency generator system in good working order, performs test and keeps records of same.
• Performs preventative and corrective services on Association equipment.
• Maintains required records and reports as outlined in the policies and procedures of the Association.
• May participate in budget planning.
• Assures that all work orders have a process and adhere to the guidelines of completing them in a timely manner.
• Ensures good safety practices of employees, owners, and guests.
• Oversees preventive maintenance programs to protect the physical assets of the Association.
• Deals with the public, owners/residents, guests and employees with tack and courtesy.
• Solicit proposals from outside vendors/contractors for major projects or contract renegotiations.
• Assures that service contracts, operating and service manuals, and all warranty information are properly filed and accessible.
• Assures that supplies are ordered on a timely basis, inventoried quarterly, and stored in a secure area.
• Must have a keen eye for detail.
• Responds to emergencies in the building or property as needed and is on call 24/7. Reports the status and outcome of any emergency to the Property Manager.
• Performs daily/weekly walk-throughs of the Clubhouse, amenities, building, property, etc., while conducting repairs, changes, and identifying property conditions that should be reported and mentioned in the manager's reports of any significant findings.
• Other duties may be assigned.

COMPLIANCE:

1. Monthly property inspections (Approximately 100-125 units per month or each unit twice annually).
2. Pictures taken of violations identified and emailed to the office for upload into AppFolio and form violation letters generated.
3. Knock on doors and speak to owners while performing the property inspection about what is needed to cure identified violations.
4. Call each owner who has been issued a violation to inform them verbally of the violation(s) before the letter is sent. This is only if they are not home during the property inspection. Note AppFolio of this communication.
5. Provide the owner with vendor options when issuing violations or when called and asked. Communicate with recommended vendors of Associations expectations.
6. Perform the 30-day violation re-inspection when due. Note AppFolio of this status.
7. Update the owner AppFolio account when they call to advise a violation has been cured or needs to be placed on hold due to vendor schedules.
8. Work with owners who require an ARC application and approval to cure their violations. Assist them with what paperwork is necessary to get the ARC application approved and their violation cured.
9. Perform bi-annual property light checks, in the evening, to ensure all lighting is in property compliance.

Experience and Education

• Must demonstrate experience in Building/Property Maintenance.
• Experience in building and equipment maintenance and record keeping.
• A high school diploma or GED equivalent.
• Knowledge of wiring, plumbing, painting, carpentry, heating, and HVAC systems.

Physical Demands

• Ability to climb stairs and ladders.
• Ability to move oneself and various items of equipment and materials to locations inside of offices and/or buildings.
• Ability to occasionally exert up to 40 lbs. of force and lift objects weighing at least 20 lbs.
• Ability to work in hot and cold environments, inside or outside buildings.
• Ability to perform the physical nature of the tasks listed above.

Work Environment / Conditions

• 80% of time exposed to outside weather conditions.
• 20% of time is working indoors.

• Frequently work at a fast pace with potential interruptions.
