Position Overview

The Senior Manager will oversee capital activity and fund accounting operations for an assigned portfolio of private market investment funds. This role combines strategic oversight of capital calls, distributions, investment funding, and fund-related expenses with responsibility for team leadership, workflow management, external administrator relationships, and the effectiveness of accounting controls.

Working closely with Fund Accounting leadership, Treasury, Financial Reporting, Investment Operations, Capital Markets, Tax, and external fund administrators, the Senior Manager will ensure fund transactions are accurately recorded, properly documented, and completed within established deadlines.

This individual will play a key role in managing operational priorities, strengthening internal controls, developing team capabilities, and driving process improvements across assigned funds. The successful candidate will possess strong technical knowledge of private fund accounting and capital activity, sound judgment, and the ability to navigate complex transactions while maintaining a high standard of accuracy and accountability.

The Senior Manager will operate within established policies and delegated authority, exercising independent judgment over day-to-day activities while escalating material funding risks, complex transactions, and significant control exceptions to senior leadership.

Key Responsibilities

Fund Accounting & Capital Activity

• Oversee capital calls, distributions, investment funding, and expense-related transactions across an assigned portfolio of private market investment funds.
• Establish priorities for capital activity and coordinate execution to ensure transactions are completed accurately and within required timelines.
• Review capital activity for accuracy, completeness, and consistency with fund agreements, approved transaction details, and established accounting procedures.
• Oversee the preparation and review of investor allocations, capital call and distribution notices, industry-standard reporting templates, and supporting schedules.
• Monitor investor receipts and funding status, address outstanding payments, and coordinate transaction closing requirements with Investment Operations and deal teams.
• Evaluate discrepancies in investor allocations, transaction details, and supporting documentation, ensuring issues are resolved and appropriate approvals are documented.
• Monitor anticipated funding requirements and communicate potential liquidity constraints, timing considerations, and execution risks to relevant stakeholders.
• Ensure assigned fund accounting activities are completed in accordance with established policies, procedures, and reporting requirements.

Operational Oversight & Administrator Management

• Oversee deliverables from external fund administrators, establishing review timelines and ensuring compliance with fund-specific requirements.
• Coordinate with internal Finance and Investment teams to facilitate accurate and timely execution of capital activity.
• Manage competing priorities across the assigned portfolio, ensuring critical deadlines, transaction dependencies, and outstanding items receive appropriate attention.
• Establish consistent review practices and documentation standards to improve the quality and reliability of fund accounting deliverables.
• Identify operational bottlenecks, recurring discrepancies, and service issues involving internal teams or external administrators.
• Escalate unresolved funding shortfalls, unusual capital allocations, complex transactions, and significant operational issues to Fund Accounting leadership.
• Drive improvements in administrator coordination, data quality, workflow consistency, and overall operational performance.

Internal Controls & Risk Management

• Oversee the implementation of established fund accounting controls, including segregation of duties, documented preparation and review procedures, exception tracking, and applicable Sarbanes-Oxley (SOX) requirements.
• Ensure appropriate supporting documentation and audit trails are maintained for capital activity, accounting transactions, and required approvals.
• Evaluate control effectiveness, identify process weaknesses, and recommend corrective actions to mitigate operational and financial reporting risks.
• Oversee payment readiness within delegated approval limits, ensuring required reviews and approvals are completed before transactions proceed.
• Partner with Treasury to ensure fund accounting activities align with established payment controls, banking procedures, and authorization requirements.
• Identify and escalate material discrepancies, unresolved exceptions, and potential control violations to appropriate leadership.
• Support internal and external audits by ensuring accounting records, transaction documentation, and control evidence are complete and readily available.
• Promote a strong control environment and reinforce accountability for compliance with established policies and procedures.

Tax & Treasury Coordination

• Oversee coordination of withholding schedules and payment deadlines with Tax teams, including payments processed through the Electronic Federal Tax Payment System (EFTPS) and other applicable jurisdictions.
• Ensure funding requirements and payment timing are communicated effectively to relevant stakeholders while maintaining appropriate boundaries around tax determination responsibilities.
• Coordinate with Credit Operations regarding funding dependencies and anticipated cash requirements associated with credit facilities.
• Partner with Treasury and other operational teams to support timely execution of fund-related financial obligations.
• Monitor time-sensitive funding requirements and proactively address potential delays or execution risks.
• Ensure responsibilities for payment execution, banking administration, credit facility draws, and repayments remain aligned with established team ownership and approval structures.

Team Leadership & Development

• Lead and oversee the assigned team, managing workload distribution, resource allocation, coverage, and competing deadlines across the portfolio.
• Establish expectations for accuracy, timeliness, documentation, and quality of work.
• Monitor team capacity and performance, identify resource constraints, and implement appropriate adjustments to support operational effectiveness.
• Coach and develop team members on private fund mechanics, capital activity, transaction review, accounting controls, and stakeholder management.
• Provide regular feedback, assess development needs, and support employee growth and technical proficiency.
• Foster a culture of accountability, collaboration, continuous improvement, and strong internal controls.
• Promote consistency in execution and knowledge sharing across the team while supporting the development of standardized procedures and best practices.

Reporting, Systems & Process Improvement

• Oversee tracking tools, dashboards, and reporting processes used to monitor capital activity, funding requirements, outstanding items, exceptions, and upcoming deadlines.
• Analyze operational data to identify trends, recurring issues, and opportunities to improve efficiency and control effectiveness.
• Lead process improvement initiatives designed to streamline workflows, strengthen data integrity, and improve the accuracy and timeliness of reporting.
• Implement approved automation and technology enhancements while preserving appropriate review procedures and internal controls.
• Standardize reporting practices and operating procedures across assigned funds, as appropriate.
• Provide regular updates to Fund Accounting leadership on operational performance, transaction status, funding risks, control issues, and improvement initiatives.
• Partner with cross-functional stakeholders to implement sustainable solutions that support the growth and scalability of fund accounting operations.
