Intake Assistant

The Intake Assistant (“Assistant”) serves as the primary point of contact for clients, focusing on professional, courteous, and efficient communication by phone. The Assistant is responsible for answering and returning calls, conducting client intake interviews, collecting and recording information, assisting clients in completing funding applications over the phone, and ensuring documentation is accurately submitted for approval and payment processing. This role requires strong verbal communication skills, attention to detail, and a commitment to providing exceptional customer service. Training can be provided to develop subject-matter expertise in necessary topics and funding opportunities. Duties Answer and return a high volume of incoming and outgoing client calls in a professional and timely manner Conduct phone-based intake interviews to collect and verify client information Assist clients with completing and submitting funding applications over the phone and in-person Accurately record and update client information in internal databases and tracking systems, report to manager and coordinate with other team members Follow up with clients to provide updates, clarify information, or request additional documentation Schedule and coordinate appointments for clients and staff Answer emails and other correspondence including text messages Present Energy Assessment results to clients via video call, phone, and/or in person Submit and track completed applications for funder review and approval Communicate courteously and consistently with team, clients, and partners Coordinate payment requests and confirm completion of required documentation Maintain organized records and ensure data integrity across all client files Collaborate with staff and managers to support smooth program operations General office duties including but not limited to scanning, filing, faxing, email, mail, and various administrative tasks as assigned Position Expectations In addition to the above, Assistant will be expected to: Present oneself to clients and partners with the values set forth by Green Homeowners United: honesty, trust, promptness, entrepreneurialism and sustainability Maintain all equipment provided as required for proper usage, storage and protection Commit to continuing education for energy efficiency expertise (provided) Consistent attendance and timeliness are required Meet deadlines and track all customers through the process Work independently and on a team Reliable transportation to and from the office is required. The office is on several bus routes. A personal vehicle is appreciated but not required. Experience/Skills: Strong attention to detail and skilled proofreading Confidently making phone calls, finding answers, and answering phones and emails promptly and professionally Excellent computer skills with standard programs and ability to learn new programs and software with training - experience with Excel or Google Sheets data entry required Self-motivated, with critical thinking skills and an interest in problem solving Ability to track and organize tasks and files and to meet deadlines Communicate effectively and professionally with the team and customers Building science or construction experience preferred, but not required Aptitude and interest in learning about energy efficiency topics Compensation Starting compensation for the position will be between $16-$20/hr based on experience and aptitude. Training provided. Green Homeowners United is a growing company and offers internal advancement opportunities. This position does not include a benefits package at this time. Days & Hours Position hours: 1st shift Monday-Friday at 30-40 hours per week. This position requires on-site interaction with customers and staff and is not a remote position.
