What You'll Do

Intake Coordination

• Ensure face‑to‑face documentation is completed within required timeframes
• Complete all documentation from referral through start of care
• Follow up with physician offices to obtain necessary records, discharge instructions, and medication lists
• Process referrals accurately and promptly
• Maintain confidentiality and secure records in compliance with state and federal guidelines
• Collaborate with billing to release held claims and resolve missing documentation issues
• Assist with general office duties such as answering phones and distributing mail
• Serve as backup scheduler and assist with entering referrals

Scheduling Responsibilities

• Coordinate patient visit schedules while prioritizing patient needs
• Work closely with managers and staff to ensure appropriate coverage
• Manage on‑call rotation tracking according to policy
• Ensure patients are not seen by multiple clinicians from the same discipline when possible
• Notify management promptly if a scheduled visit cannot be completed
• Run daily and weekly reports and run issues as needed
• Assist with new nurse orientation and participate in training activities
• Support office operations to ensure smooth daily workflow

Qualifications

• Associate degree in a related health or financial field
• LPN preferred
• Minimum of 2 years of experience in medical records or healthcare billing
• Proficiency with Word, Excel, and email
• Strong organizational skills and excellent phone communication
• Ability to multitask in a fast‑paced environment
• Friendly, positive demeanor and ability to work independently or as part of a team
• Ability to handle confidential information with discretion
