Aesthetic Patient Coordinator/Medical Assistant

POSITION SUMMARY:

Rapidly growing cosmetic and aesthetic surgery practice seeks a motivated individual with excellent people skills and a strong commitment to patient care. The Aesthetic Patient Coordinator/Medical Assistant prepares patients for consultations and examinations, accurately completes patient interviews, and records information in the medical chart, ensuring all pertinent information is available to the physician (i.e., list of medications, lab results, medication allergies, etc.). Take patient photographs for before-and-after comparisons. Assist the surgeon with in-office procedures and surgeries. Follows OSHA standards and ensures cleanliness and proper preparation of exam rooms.

In addition to clinical duties, the  Aesthetic Patient Coordinator/Medical Assistant answers phones, schedules appointments, checks in patients, verifies that required consent forms are completed and signed, and processes payments. This role also proactively manages other administrative and office tasks as needed.

Patient Consultation & Surgical Quote Responsibilities:

The Aesthetic Patient Coordinator/Medical Assistant will assist with the patient consultation and treatment-planning process, including reviewing surgical recommendations and quotes with patients following physician consultations. Responsibilities may include explaining the components of a surgical quote, reviewing pricing and available options, answering general questions, identifying patient concerns or barriers to moving forward, and appropriately communicating those concerns to the physician or practice leadership.

The Aesthetic Patient Coordinator/Medical Assistant will follow up with patients regarding surgical quotes and treatment plans, assist patients in understanding their options, and support patients through the decision-making process. The ideal candidate will be comfortable discussing elective cosmetic procedures and confidently communicating the value and benefits of recommended treatments.

Previous experience in sales, patient coordination, cosmetic/aesthetic services, retail sales, or another customer-facing environment is a plus. Familiarity with consultative selling, relationship-based sales techniques, overcoming objections, and closing or converting consultations into scheduled procedures is preferred. Experience with sales techniques is helpful, but a strong willingness to learn and the ability to build trust and establish rapport with patients are essential.

The Aesthetic Patient Coordinator/Medical Assistant will perform CoolSculpting and other in-office procedures and will assist in public education, both in and out of the office, to help create interest and further develop those services.

QUALIFICATIONS / EDUCATION:

• High School Diploma or equivalent required.
• College education a plus.
• Graduate of an accredited Medical Assistant program required.
• Strong interpersonal, communication, organizational, and customer service skills required.
• Comfortable discussing cosmetic and aesthetic procedures with patients.
• Ability to confidently review treatment plans and surgical quotes with patients.
• Sales, patient consultation, cosmetic office, retail, or customer relationship experience preferred.
• Ability to learn and apply consultative sales and patient-conversion techniques.
• Must demonstrate professionalism, empathy, confidence, and excellent follow-through.

LICENSE/CERTIFICATION:

Must be a graduate of a post-secondary Medical Assistant program accredited by a national accrediting agency, with a minimum of 600 hours of instruction, with special training around medication administration as per the NJ Board of Medical Examiners, required.

All Certified Medical Assistants must maintain active National Certification with a certifying agency approved by NJ (i.e., American Association of Medical Assistants (AAMA), National Center of Competency Testing (NCCT), National Health Career Association (NHA), or American Medical Technologists (AMT)), required.

EXPERIENCE:

1–3 years of prior healthcare experience preferred. Experience in cosmetic/aesthetic medicine, patient coordination, sales, retail, customer service, or a consultative sales environment is a plus. Incumbents within this position will be trained appropriately.

WORK ENVIRONMENT:

Potential for exposure to the hazards and risks of the medical office environment, bloodborne pathogens, including exposure to infectious disease and hazardous substances.

JOB TYPE:
30-40 hours weekly

REQUIRED EXPERIENCE:

• Healthcare: 1–3 years preferred
• Sales, customer service, patient coordination, or cosmetic/aesthetic experience a plus
