Mail Clerk Medical Claims Department

Location: Pasadena, CA Schedule: Monday Friday | 8:00 AM 5:00 PM Pay Rate: $19.00 per hour Position Type: Temporary to Permanent

Position Summary: We are seeking a detail-oriented Mailroom Clerk to join our Claims Department. This position is responsible for processing incoming mail, organizing claim documents, performing data entry, and supporting daily mailroom operations while ensuring accuracy, confidentiality, and timely processing.

Essential Responsibilities

• Open, sort, and batch incoming mail, faxes, and claim documents.
• Organize claims by type (CMS-1500, UB-04, and related forms).
• Distribute incoming mail to the appropriate departments and staff.
• Enter claim information into the EZ-CAP claims processing system.
• Research provider and member information using EZ-CAP.
• Log and track daily incoming mail volumes.
• Prepare claim batches for scanning and vendor pickup.
• Process claim correspondence, including pend, denial, and forwarding letters.
• Provide requested documentation, including EOBs, scanned documents, faxes, and letter copies.
• Assist with claims research and maintain simple Excel spreadsheets.
• Sort, log, and distribute certified, registered, overnight, UPS, FedEx, and USPS mail as assigned.
• Support additional mailroom and claims projects as needed.
• Maintain confidentiality and comply with HIPAA and company policies.

Qualifications

• High school diploma or equivalent required.
• Minimum one (1) year of mailroom or clerical experience, preferably in a healthcare environment.
• Data entry experience required.
• Experience with faxing, scanning, and document management.
• EZ-CAP experience is preferred.
• Basic Microsoft Excel knowledge.
• Strong organizational skills and attention to detail.
• Ability to prioritize multiple tasks in a fast-paced environment.
• Professional communication skills and ability to work independently and as part of a team.
