Tax Operations CoordinatorABGi USA is hiring on behalf of one of our public accounting firm clients in Foxborough, MA. Our client is an established public accounting and business advisory firm providing tax, accounting, consulting, and financial advisory services to businesses and individuals. The firm works with a diverse client base and is known for handling both traditional accounting needs and more complex financial engagements.They are seeking a highly organized and proactive Tax Operations Coordinator to join their growing team. This individual will report directly to the Head of the Tax Department and provide operational, administrative, and workflow support to the firm's tax professionals.This role is central to keeping the tax department organized and running efficiently, including coordinating filings, maintaining compliance calendars, managing client documentation, supporting billing and bookkeeping processes, and ensuring deadlines are met.The ideal candidate is detail-oriented, comfortable managing multiple priorities, and confident communicating with both senior professionals and clients.Key ResponsibilitiesMaintain tax return, extension, estimated payment, and compliance calendarsCoordinate electronic filing of federal and state tax returns and extensionsMonitor filing transmissions, acknowledgements, rejections, and acceptance statusesPrepare and distribute tax organizers, engagement letters, and related client materialsTrack outstanding signatures, documents, authorizations, and filing requirementsCoordinate client document intake, scanning, electronic organization, and return deliveryMaintain and update workflow and practice management systems throughout each assignmentManage calendars and coordinate onsite and offsite meetings around departmental priorities and deadlinesPrepare selected client invoices and assist with productivity reporting and work-in-process workflowsPerform basic bookkeeping and account reconciliations for selected client accountsManage CPE and certification tracking and reportingAssist with staff training, onboarding, meeting coordination, and general departmental administrationProvide limited reception coverage, including greeting visitors, answering phones, and supporting front-office operationsIdentify opportunities to improve workflows and overall departmental efficiencyProvide professional and responsive support to clients and internal team membersQualificationsEducation & ExperienceAssociate degree in Business Administration, Accounting, or a related field preferredPrevious experience in an accounting, tax, legal, or professional services environment preferredCoordinator, administrative, or operations experience within a professional office environmentBasic bookkeeping and account reconciliation experience preferredTechnical SkillsProficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPointQuickBooks experience preferredExperience with tax, accounting, workflow, or practice management software preferredWhat We're Looking ForHighly organized with the ability to manage multiple priorities and deadlinesStrong attention to detail and follow-throughExcellent written and verbal communication skillsProactive problem solver who can anticipate needsComfortable working in a deadline-driven environment, particularly during busy seasonAdaptable and able to shift priorities when neededProfessional and discreet when handling confidential client and financial informationTeam-oriented with a willingness to support both tax professionals and overall office operationsBenefitsAnnual performance-based bonus eligibilityMedical, dental, and vision insurance401(k) with employer matchPaid Time Off and paid holidaysLife and disability insuranceEmployee Assistance ProgramProfessional development opportunities
