Generative AI Training Automation SpecialistHybrid Onsite in NYCMid June/Early Julylong term contract$80-93/hr W2Eligible for Health, Dental, Vision, 401K Must be authorized to work in the U.S. This position is not eligible for sponsorship.Job DescriptionDesign and facilitate live and on-demand training on generative AI tools, including (but not limited to) ChatGPT Enterprise, Microsoft Copilot, and Claude.Develop clear, engaging learning materials, including guides, job aids, and video content, for employees at varying levels of AI fluency.Support the Generative AI Champions community group and other Tech Academy programs by coordinating sessions, managing logistics, and contributing content.Serve as a support resource for employee questions about AI tools, use cases, and responsible use guidelines.Partner with HR, Legal, and HTS stakeholders to ensure training reflects current Hearst policies on data privacy and AI usage.Partner with HR and corporate Learning and Development teams to design and develop AI-focused soft skill trainings in addition to tool-based trainings. For example, work on content such as "Leading Change in the Age of AI" etc.Track training participation, learner feedback, and engagement metrics to continuously improve program effectiveness.Collaborate with vendors and internal teams to stay current on AI tool updates and surface relevant learning opportunities.Serve as the primary administrator for ChatGPT Enterprise and Claude Enterprise environmentsManage platform configuration, organizational settings, user provisioning, and workspace administrationMaintain organizational structures, team workspaces, and access segmentation by department or business unitServe as the primary liaison with OpenAI and Anthropic enterprise account teams. Escalate complex technical issues to vendor support teams when requiredGenerate utilization reports for license consumption, compliance and chargebackQualifications3–5 years of experience in training, instructional design, adult education, or a related field1-2 years of experience with administration of enterprise AI platform like OpenAI, Claude enterpriseExcellent documentation, communication, and organizational skillsStrong understanding of enterprise security and compliance practicesHands-on experience with generative AI tools (e.g., ChatGPT, Claude, Gemini, Microsoft Copilot, or similar). Experience as a training with generative AI tools is preferred.Holds a bachelor's degree in adult education, instructional design, communications, or a related field, or has equivalent work experience.Strong written communication skills with the ability to explain technical concepts clearly to non-technical audiencesExperience designing and facilitating both live (virtual/in-person) and asynchronous learningUnderstanding of adult learning theory and how to apply it to AI-related contentComfortable working in a fast-changing environment where tools, policies, and best practices evolve quicklyStrong organizational skills and consistent attention to detail across multiple concurrent projectsProficiency with Microsoft 365 tools, specifically Teams, SharePoint, OneDrive, and OutlookExperience with Learning Management Systems is preferredFamiliarity with responsible AI use principles and data privacy considerations is a plus
