Purchasing Specialist

Location: Fairbanks, Alaska
Pay: $22–$28/hour DOE
Schedule:  Full-Time | Monday–Friday | 8:00 AM–5:00 PM

Keep purchasing operations organized from requisition through delivery while supporting vendor relationships, inventory, fleet records, and day-to-day utility operations. This Purchasing Specialist role is ideal for someone who is detail-focused, comfortable managing multiple priorities, and confident working with purchase orders, supplier records, invoices, and administrative processes.

The position supports procurement and purchasing activities, vendor and supplier maintenance, inventory records, fleet documentation, invoice processing, and a variety of operational and administrative needs. The ideal candidate is organized, dependable, adaptable, and comfortable working independently while coordinating with vendors, coworkers, and other departments.

Key Responsibilities

• Process purchase requisitions and generate purchase orders
• Solicit and verify quotes, accounting codes, approvals, job numbers, and shipping information
• Issue purchase orders to vendors and communicate order, invoicing, and delivery requirements
• Track order confirmations, shipping details, deliveries, and receipt of goods
• Resolve purchasing issues involving incorrect orders, pricing, fees, returns, credits, and shipping discrepancies
• Process PO invoices for payment and maintain organized digital records
• Set up and maintain supplier and vendor information, including W-9s, insurance certificates, payment information, and account details
• Assist with Accounts Payable documentation and annual financial audit requests
• Support inventory management, including creation and maintenance of inventory records
• Maintain DMV registrations, titles, insurance records, and related documentation for fleet vehicles
• Maintain supplies and basic PPE for utility facilities
• Assist with light building maintenance and coordination of repairs as needed
• Support employee and public event coordination and setup
• Assist with authorized buyer lists and supplier account maintenance
• Deliver documents and supplies between locations as needed, including filing documents with the State Recorder’s Office
• Provide additional administrative and operational support as assigned

Minimum Requirements

• High school diploma or equivalent
• At least 2 years of experience performing clerical duties in a business office environment
• Valid driver’s license and driving record acceptable to company insurance requirements
• Strong computer skills and proficiency with Microsoft Office applications
• Effective digital file management and recordkeeping skills
• Strong organizational, time-management, and prioritization skills
• Ability to communicate professionally with vendors, coworkers, and customers
• Ability to lift and move approximately 25–50 pounds as needed
• Ability to perform occasional light maintenance tasks and work around stairs, ladders, and required PPE
• Background screening is a part of the hiring process
• Must support a drug free work environment

Preferred Experience

• 2–3 years of experience in purchasing, procurement, or a related role; relevant education may substitute for experience
• Experience with cloud-based ERP software, including Oracle
• Knowledge of waterworks or general plumbing parts
