Fiscal & Business Specialist - OT Credentialing & Access Services

Primary Purpose The Fiscal & Business Specialist - OT Credentialing & Access Services provides essential support for USF Credentialing Services, billing processes, customer service escalations, and inventory management. This position supports credential management production, activities supporting new student orientation planning before, during, and after the event, accurate financial reconciliation, and excellent service delivery to the USF community. The role requires consistent daily coverage with increased responsibilities during peak orientation periods. Compensation & Work Details Hourly Pay: $22.62 Work Schedule: Monday - Friday Shift Hours: 8 AM - 5 PM Work Location: Tampa Campus Responsibilities Operations & Reporting (Daily): Review and analyze statistics captured by each USF Card center(s) daily; compile and review daily counter reports and printer statistics for auditing purposes; prepare audit reconciliation documentation and maintain center statistics Customer Service: Process and resolve escalated help tickets from the Operations Team (First View); handle escalated Alumni card issues and inquiries from ITSM system; ensure timely response and resolution of customer concerns Billing & Finance: Process refunds and charge inquiries through Touchnet/SSB student billing systems; coordinate and investigate complex student billing issues; process monthly IDCard, SSC/Compass Group, and Department billing cycles; manage billing relationships with Housing, Orientation, Rec Center, and other departments Card Production: Package and organize USFCards for distribution to various campus locations; schedule and coordinate batch printing operations; perform printer maintenance and troubleshooting as needed Inventory & Budget Management: Document supplies provided to each location and monitor usage against statistics; manage supply budget and track expenditures; conduct quarterly inventory audits and maintain OT Card Services inventory/stock; coordinate bulk ordering of printer supplies Seasonal/As‑Needed Duties: Provide support during USF Orientation periods; pull VZ reports from TPA Orientation as required; assist with USFCard policy/procedure updates and enforcement; support new hire training on USFCard systems and batch printing procedures Perform other duties as assigned Qualifications Minimum Qualifications High School diploma or equivalent with three years of work experience in positions with fiscal support duties College or other relevant post‑secondary coursework may substitute for the experience requirement on a year‑for‑year basis Technical Skills Data entry and reconciliation Report generation and analysis Ability to prioritize and manage multiple tasks Multiple‑team collaboration and flexibility Excellent customer service orientation Strong attention to detail and accuracy Effective written and verbal communication Problem‑solving and critical thinking Self‑motivated with minimal supervision required Industry Knowledge Experience with student information systems or billing platforms preferred Proficiency in Microsoft Office Suite (Excel, Word, Outlook) Experience with point‑of‑sale or card management systems a plus Must be able to work consistently Monday through Friday during business hours and some weekends Ability to work extended hours during peak orientation periods ID card printing technology Touchnet/Banner/SSB experience Inventory management systems Financial transaction processing IT Competencies Growth Mindset: Takes ownership of personal growth and embraces the concept that intelligence and talent can be developed through continuous learning.
