Advanced Medical Support Assistant

Summary Advanced Medical Support Assistant(s) are assigned to Primary Acute Care Teams (PACT), Specialty Clinics, Nursing Service, or Inpatient Care. They provide specialized administrative patient support within an interdisciplinary coordinated care delivery model. Qualifications United States citizenship required. Non‑citizens may only be appointed under VA policy when no qualified citizens are available. High school diploma, GED, or equivalent proficiency certificate. Candidates must be proficient in spoken and written English. Experience: One year of experience equivalent to a GS‑5 level, including scheduling, referral management, document review, and patient communication. Knowledge, Skills, and Abilities (KSAs): Collaboration and communication with diverse medical clinicians. Prioritization and organization of work to meet deadlines and policies. Effective written and verbal communication with internal and external customers. Advanced knowledge of healthcare processes, scheduling, and technology platforms. Advanced knowledge of policies, procedures, and terminology relevant to interdisciplinary care. Grandfathering provisions may apply for current VHA employees meeting specific criteria. Responsibilities Review patient records, physician orders, and consults; conduct basic eligibility reviews for Community Care benefits. Manage consult life cycle, including authorization initiation and adherence to scheduling SOPs. Serve as liaison among the VA, community providers, veterans, and third‑party administrators. Handle incoming calls, secure messages, faxes, and referral management platforms. Coordinate appointments for Do‑Or‑M detect units, including processing return‑to‑clinic orders and cancellations. Communicate required scheduling directives and assist in training other MSA levels. Provide quality customer service to patients, families, and external stakeholders. Process traveler claims and ambulance bills as needed. Support daily huddles and census reporting for inpatient units. Maintain professional, courteous interactions while managing multiple priorities. Work Conditions Full‑time, office setting with opportunities for light lifting up to 15 lbs. Competitive salary with regular increases; higher step rate may be considered for unique qualifications. Paid time off: 37‑50 days annually (includes leave, sick leave, and paid holidays).
