Membership Specialist

We are looking for a passionate and highly motivated Member Engagement Associate to provide support for the member engagement team and Navy League members. The successful candidate will work under the guidance of the Director of Member Engagement and the Vice President of Member Engagement. The ideal candidate shall have a strong attention to detail, the ability to work effectively in a cross-functional role, and the confidence to communicate clearly with colleagues, board members, award winners, vendors, and volunteers. They should also be able to liaison between departments, including the member engagement department and the meetings department, to support large volunteer events, such as the National Convention.
Duties and Responsibilities include:
- Organize and manage the Navy League Awards program in accordance with the Awards Manual. Act as staff liaison for the National Awards Committee and Annual Professional Excellence Awards Committee, take meeting minutes, and work with vendors to ensure awards are ordered on time and on budget. Maintain a detailed timeline and deadlines for all phases of the awards program.
- Coordinate with the Meetings department on award and award winner logistics. Work with staff to ensure timely ALNAV communication and sufficient awards marketing.
- Provide administrative support for the Navy League Foundation, Council Leadership Training Committee, Ship Adoption and Commissioning Committee, and other member committees as needed.
- Serve as staff liaison for the STEM Committee. Schedule monthly committee calls, receive and distribute STEM Grant applications and post-grant reports to the committee, and track STEM Grant funds.
- Manage and resolve user issues related to JotForm and SmarterSelect, and maintain proficiency in both platforms.
- Assist Director of Member Engagement with managing the Council Leadership Training Program. Work with volunteers and staff to determine the most appropriate training topics.
- Become a staff resource on Navy League Bylaws and Operations Manual.
- Maintain internal and external Navy League website calendar.
- Assist Director of Member Engagement with monthly data analysis.
- Assist with membership projects as needed, such as:
- Provide exceptional customer service to members and councils.
- Answer emails and phone calls from members and councils.
- Work with Member Engagement team to ensure timely updates are made in the database.
- Ensure annual report data is updated yearly in the Nimble database and council information spreadsheet (and as needed).
- Update and maintain member and council data in Nimble database.
- Ensure council reports are pulling correctly. Create reports for councils as necessary.
- Other duties as assigned.
Background Requirement
- s:Education: B.A. or B.S. degree, preferred
- Skill requirements: Salesforce or Nimble AMS experience, preferred. Administrative experience, preferred.
- Knowledge of MS Office software (e.g., Outlook, Teams, Word, Excel, PowerPoint) and Zoom.
- Previous non-profit membership or foundation/scholarship experience preferred.
- Attention to detail.
- Ability to work effectively in a cross-functional role and communicate confidently with colleagues, board members, award winners, vendors, scholarship applicants, and volunteers.
- Strong organizational and interpersonal skills, with the ability to manage a diverse workload during periods of high activity and competing priorities.
