Status: Part-Time, 25–28 hours/week (schedule flexible within campus operating hours)

Classification: Non-Exempt (hourly)

Pay Range: $25 - $30 per hour, depending on experience

Reports To: Finance and Operations

Position Summary

The Facilities & Maintenance Coordinator is the hands-on caretaker of the Girls Inc. of Greater Santa Barbara campus. This person keeps our buildings, grounds, and equipment safe, functional, and welcoming for the girls, families, staff, and community members who use them every day. The role is roughly three-quarters hands-on work — repairing, installing, adjusting, and maintaining — and one-quarter coordination: running a simple work-order intake process, prioritizing requests from staff with safety first, and sourcing, scheduling, and negotiating with outside vendors when a job calls for a licensed trade or specialized contractor.

This position is new in scope: it establishes the first organized system for how facilities requests are submitted, tracked, prioritized, and closed out. The ideal candidate is a skilled, self-directed handyperson who enjoys variety, takes initiative without waiting to be asked, communicates clearly with non-technical staff, and takes pride in a well-kept campus. Because the role also supports vehicle upkeep and occasional campus events, flexibility and a team mindset are essential.

What You'll Do Most Days

Sample of the hands-on work this role is expected to handle in-house:

• Replace light bulbs, ballasts, and fixtures; reset breakers; replace outlets, switches, and cover plates.

• Repair and replace door handles, locks, hinges, closers, and weather stripping; adjust doors and gates that stick or don't latch.

• Fix leaking faucets and sinks, running toilets, clogged drains, and minor plumbing; replace fixtures and supply lines.

• Mount TVs, whiteboards, shelving, bulletin boards, and wall-hung equipment safely and securely.

• Patch and paint walls; repair drywall, trim, tile, and flooring; touch up finishes.

• Assemble and repair furniture, playground and program equipment, and storage systems.

• Perform basic HVAC upkeep (filter changes, thermostat checks, vent cleaning) and identify when a licensed technician is needed.

• Maintain grounds and exterior areas: walkways, drainage, exterior lighting, fencing, and basic landscaping tasks.

• Set up and break down rooms and outdoor spaces for programs, rentals, and events.

Specific Responsibilities

1. Hands-On Facility Maintenance & Repair

• Perform a wide range of repair and maintenance tasks across plumbing, electrical, carpentry, painting, HVAC (basic), and general building upkeep, as described above.

• Conduct routine walkthroughs and inspections of all buildings and grounds to identify and correct issues before they become problems.

• Respond promptly to urgent repair issues that affect safety, security, or program operations.

• Support renovation and improvement projects, performing work in-house where appropriate.

• Maintain organization, cleanliness, and safe storage of maintenance areas, tools, and supplies; keep an inventory of common parts and consumables.

• Serve as liaison between program staff and the contracted janitorial company; ensure shared and common areas remain clean and orderly.

2. Request Intake, Tracking & Prioritization

• Design, launch, and maintain a simple, campus-wide intake process for facilities requests (e.g., a shared form, ticketing tool, or log) so that any staff member can submit a request and know its status.

• Triage and prioritize incoming requests using a clear, communicated framework — safety and security hazards first, then program-critical items, then general improvements.

• Keep staff informed: acknowledge requests, provide realistic timelines, and confirm completion.

• Maintain a running log of all work orders, recurring problems, completed repairs, and associated costs; use this record to identify patterns and recommend preventive fixes.

• Develop and follow a preventive maintenance calendar (e.g., filter changes, safety checks, seasonal tasks).

3. Safety & Compliance

• Conduct regular safety inspections of the campus to identify and mitigate hazards (trip hazards, exposed wiring, damaged equipment, blocked exits, etc.).

• Ensure emergency lighting, exit signage, fire extinguishers, first-aid stations, and related safety equipment are inspected and in working order.

• Follow safe work practices, including ladder safety, lock-out procedures, and proper handling of tools and materials, especially when working in areas where youth are present.

• Support fire, earthquake, and emergency-preparedness readiness in partnership with leadership.

4. Vendor Sourcing & Coordination

• Determine when a repair exceeds in-house capability (e.g., licensed electrical, major plumbing, roofing, HVAC replacement) and take the initiative to bring in the right vendor.

• Build and maintain a network of reliable local contractors and trade professionals; leverage existing relationships where possible.

• Obtain and compare multiple quotes, negotiate competitive pricing, and recommend the best-value option to leadership.

• Schedule vendor visits, provide site access, supervise work for quality and timeliness, and confirm completion before sign-off.

• Track vendor contracts, invoices, warranties, and receipts; ensure compliance with organizational purchasing policies.

5. Vehicle Upkeep

• Oversee routine maintenance and upkeep of agency vehicles; schedule service with external providers as needed.

• Conduct or coordinate regular vehicle inspections; log and follow up on all mechanical issues.

• Maintain vehicle maintenance records and support registration, insurance, and compliance tracking.

• Support the transportation team as needed, including driving agency vehicles when qualified and available.

6. Campus & Community Support

• Assist the Operations staff with campus rentals, including event-day setup, staffing, and breakdown as needed.

• Support the community pantry by keeping the space, shelving, and equipment in good repair and assisting volunteers with organization as needed.

• Participate in staff trainings and organizational meetings as required.

• Model Girls Inc. values and policies in all interactions with youth, staff, families, and vendors; serve as a positive, supportive adult in the lives of youth.

Qualifications

Required

• Minimum 2 years of hands-on experience in building maintenance, facilities, construction trades, or a comparable handyperson role.

• Demonstrated ability to perform basic plumbing, electrical, carpentry, and general repair work safely and to a high standard.

• Strong organizational and time-management skills with the ability to prioritize competing requests, especially where safety is involved.

• Self-starter who takes initiative, follows through, and works well with minimal supervision.

• Clear verbal and written communication skills; comfortable explaining technical issues to non-technical staff and communicating with vendors.

• Basic computer proficiency (email, spreadsheets, or a simple request-tracking tool) for logging and reporting work.

• Valid California Driver's License and a clean driving record.

• Experience working respectfully with people of diverse cultures, ethnicities, abilities, gender identities, and sexual orientations.

• Ability to work flexibly in a dynamic, fast-paced, mission-driven environment.

Preferred

• Established relationships with local vendors and trade contractors.

• Experience obtaining quotes, negotiating pricing, or managing small projects.

• Experience setting up or running a work-order or maintenance-tracking system.

• Ability to obtain a Class C or B license with Youth Bus certification.

• CPR and First Aid Certification.

• Bilingual English/Spanish.

Additional Requirements

• Ability to lift up to 50lbs and perform physical tasks such as bending, climbing ladders, kneeling, pushing, pulling, and carrying.

• Availability for occasional evenings or weekends.

• Successful completion of a background check and all required trainings, including youth-safety training.

Working Conditions

• Work is performed both indoors and outdoors, in all seasons, across the campus.

• Regular use of hand and power tools, ladders, and basic maintenance equipment.

• Physical tasks include lifting, climbing, walking, and standing for extended periods.

• Work is often performed while programs are in session; the ability to work safely and courteously around children is essential.
