About the Role- Are you highly organized, deadline-driven, and passionate about producing polished, winning proposals? Jamail & Smith is seeking a Proposals & Marketing Coordinator to join our growing Proposal & Marketing Team. In this role, you'll help drive business development efforts by coordinating and producing compelling qualification packages, proposals, and marketing deliverables that position our team for success. Working closely with the Marketing Manager, Business Development team, Operations, and Preconstruction staff, you'll coordinate every phase of the proposal process from kickoff meetings through final submission, ensuring each pursuit is compliant, accurate, visually engaging, and delivered on time. This position is ideal for someone who enjoys project coordination, writing, editing, and collaborating with multiple departments in a fast-paced environment. What You'll Do- Proposal Coordination Coordinate RFQ, RFP, CSP, and interview response development from kickoff through final submission Develop proposal schedules and ensure all milestones and deadlines are met Review solicitation documents and develop compliance matrices and checklists Coordinate technical content from project managers, estimators, and operations teams Write, edit, and format proposal narratives to ensure consistency and quality Assemble both digital and printed proposal packages Perform quality control reviews to ensure accuracy, compliance, grammar, and formatting Content Management Maintain and organize proposal templates and boilerplate content Update project sheets, employee resumes, qualifications, and project photography Maintain the proposal content library and marketing database Assist with interview presentations and leave-behind materials Marketing Support Prepare specialized marketing packages and client presentations Assist with award submissions and industry recognition opportunities Collaborate with the Marketing Manager on strategic pursuits Support other marketing initiatives during non-proposal periods Qualifications- 3+ years of proposal coordination, marketing, or AEC industry experience Experience coordinating RFQs, RFPs, SOQs, or proposals, required. Exceptional writing, editing, proofreading, and organizational skills Ability to manage multiple deadlines simultaneously Strong attention to detail Advanced Microsoft Office skills (Word, PowerPoint, Excel) Adobe InDesign experience, required. Experience in commercial construction, architecture, or engineering is a plus!
