Event Planner - Financial Services

Event Planner – Financial Services We are seeking an experienced Event Planner to support the planning and execution of high‑profile events for our financial services client. The role is based in New York City and requires onsite presence minimum four days per week. Key Responsibilities Event Planning & Execution: support planning, coordination, and execution of client‑hosted events, ensuring smooth operations across all phases; manage venue research, logistics coordination, vendor communication, and production support. Develop and maintain detailed timelines, run‑of‑show documents, and task trackers. Ensure all event components align with brand standards and quality expectations. Provide on‑site support and troubleshoot to ensure a seamless attendee experience. Client & Stakeholder Support: communicate between agency team and client stakeholders; participate in status updates; track progress and key deliverables; collaborate internally and externally; build understanding of client objectives and contribute to achieving goals. Guest Experience & Hospitality: coordinate registration, communications, and on‑site experience; support ancillary experiences such as dinners and receptions. Budget & Vendor Coordination: track and reconcile budgets; source vendors, gather proposals, and coordinate logistics; manage vendor communications and deliverables. Risk & Issue Management: identify potential issues, elevate to senior team members, and support contingency planning and on‑site problem solving. Qualifications & Experience 3–7 years of high‑profile event production experience, preferably within financial services. Exceptional verbal and written communication skills. Proven ability to manage complex travel logistics and high‑profile guest services. Strong organizational skills; manage multiple projects simultaneously and meet tight deadlines. Experience working with C‑Suite executives or high‑net‑worth individuals preferred. Ability to develop and present high‑level reporting to senior leadership. Problem‑solving mindset and ability to remain calm under pressure. Flexibility to work flexible hours, including evenings and weekends. Work Structure & Engagement Embedded in client’s New York office minimum four days per week. Full‑time position with long‑term engagement potential.
