Job Summary The Special Events Logistics Manager supports the Sales Department, including Senior Sales Manager and Sales Managers, and performs special projects as directed by the Director of Sales. The Role Provide administrative support to the Sales teams and coordinate logistics for special events, ensuring smooth execution from the SEO to the actual operation of the event. Work closely with the Special Events Team for contract negotiations and liaison with the Operations team. What This Role Will Do Essential Functions Execute, service, and detail assigned events once booked by the Special Events Department Provide administrative support and assistance to the Special Events Sales Team Distribute all internal and external correspondence and maintain all departmental files Assist team members with Information Systems support Coordinate all aspects of operational set‑up and breakdown (equipment needs, rental needs, station set‑up) Coordinate with Production on all production aspects needed for an event Act as liaison between client and LN team throughout the event Maintain a neat, clean, well‑groomed appearance in accordance with venue standards Conduct event pre‑shift with Operations Managers and communicate event specifics at team member pre‑shift Ensure seamless transition for client from Sales to Operations during the event Handle all aspects of the special event once the SEO has been distributed Interact with clients, conduct site inspections and walk‑throughs as requested by Sales Managers/Director of Sales Assist Sales Managers with special client needs as requested Participate in SEO and Production meetings Work varying schedules to reflect the business needs of the venue, including hospitality hours Maintain files in proper order after distribution of the SEO Accounting Functions Process all deposits and payments promptly Track status of payments for all events with Sales Managers Follow up on all accounts receivable and provide monthly updates to the Director of Sales and Business Manager Verify deposit/payments tracking schedules with Sales Manager Execute all post‑event paperwork: Party Recap Sheet, Captain’s Report and Receipts Ensure proper settlement of invoices and enter billing information into POS to generate final guest check Manage staff hours to stay within budget Follow up on accounts receivable and provide monthly updates to the Director of Sales and Business Manager Staff Functions Maintain supply of digital and print sales kits and collateral materials Update sales kit inserts and menus as needed Collect and update digital content for event marketing Generate a competitive analysis report quarterly Execute special projects assigned by Director of Sales Distribute final contracted SEOs to appropriate parties Train all staff on proper service techniques and etiquette Produce weekly banquet summary for all events (team member count and staffing verification by Operations Manager) What This Role Will Bring High School Diploma (College Degree preferred) Minimum two years in a customer service capacity Working knowledge of computers (Excel, Word, databases) Basic mathematical skills Entry‑level knowledge of restaurant and music hall operations, food preparation and reservation procedures Strong written and verbal communication skills; excellent time‑management Ability to prioritize, organize and thrive in a fast‑paced, high‑volume environment Benefits & Perks Medical, vision, dental and mental health benefits for you and your family, with a health‑care concierge and optional FSA/HSA Free concert tickets, generous paid time off (including holidays, sick time, and personal days) 401(k) with company match and stock‑reimbursement program New‑parent programs (caregiver leave, baby bonuses, fertility/support for adoption, foster, surrogacy) Career and skill‑development programs, tuition reimbursement and student‑loan repayment Volunteer time off, crowdfunding match
