About the Role:

The Scan & Data Entry Clerk for HR and Payroll plays a critical role in ensuring the accuracy and integrity of employee records and payroll data within the organization. This position involves the meticulous scanning, organizing, and digital archiving of physical documents related to human resources and payroll functions. The successful candidate will be responsible for entering data accurately into HR and payroll systems, supporting timely payroll processing and compliance with company policies and legal requirements. By maintaining up-to-date and error-free records, this role directly contributes to efficient HR operations and employee satisfaction. The role requires a detail-oriented individual who can manage sensitive information with confidentiality and work collaboratively with HR and payroll teams to support organizational goals.

Minimum Qualifications:

• High school diploma or equivalent.
• Proven experience in data entry or document scanning, preferably within HR or payroll environments.
• Basic knowledge of payroll and human resources terminology and processes.
• Proficiency with standard office software such as Microsoft Office Suite (Word, Excel).
• Strong attention to detail and ability to maintain confidentiality.

Preferred Qualifications:

• Associate degree or certification in office administration, human resources, or related field.
• Experience with HRIS (Human Resource Information System) or payroll software such as ADP, Paychex, or similar platforms.
• Familiarity with data protection regulations such as HIPAA or GDPR.
• Ability to troubleshoot basic scanning equipment and software issues.
• Strong organizational skills with the ability to manage multiple tasks efficiently.

Responsibilities:

• Scan, organize, and digitize physical HR and payroll documents ensuring clarity and proper indexing for easy retrieval.
• Accurately enter employee data, payroll information, and related records into designated HR and payroll software systems.
• Verify data accuracy by cross-referencing source documents and correcting discrepancies promptly.
• Maintain confidentiality and security of sensitive employee information in compliance with company policies and legal standards.
• Assist HR and payroll teams with document retrieval and reporting as needed to support payroll processing and audits.

The required skills enable the clerk to accurately scan and digitize documents, ensuring that all HR and payroll records are complete and accessible. Attention to detail is critical for verifying data accuracy and preventing errors that could impact payroll processing or compliance.
