This Is Not a Back-Office Role

This is the operational backbone of every deal.

You don’t “process files.” You own them.

You drive every deal from contract to closing.

Client-facing. Deal-driving. Outcome-focused.

The Mission

Every file → clear, clean, and ready to close — fast, with zero surprises.

What You’ll Own

File Ownership

• Take control at contract execution

• Review agreements for structure, accuracy, and risk

• Open files and order title immediately

• Drive files in Qualia: open → clear → close → policy

Title Review & Resolution

• Review title abstracts and prepare commitments

• Identify and resolve:

o Liens, judgments, mortgages

o Probate / estate issues

o Municipal violations

o Chain of title issues

• Determine the fastest path to clear title

• Solve issues before they impact closing

Coordination

• Manage all parties:

o Agents, lenders, attorneys, buyers, sellers

• Handle:

o Payoffs, releases, estoppels, documentation

• Work directly with loan packages and lender requirements

• Push files forward relentlessly

Communication

• Act as the central hub across all parties

• Provide clear, proactive updates:

o What’s done

o What’s outstanding

o What’s next

Face-to-face > phone > email

Closing Prep & Accuracy

• Prepare and review:

o Title documents

o Settlement statements (HUD/CD)

• Ensure all numbers reconcile

• Handle receipts, disbursements, and closing accuracy

• Deliver clean files ready to close

What It Takes

• Strong title and closing knowledge

Experience Required

• 2+ years in:

o Title

o Real estate paralegal

o Closing coordination

• Strong title review and closing process knowledge

• Independent file handling experience preferred

• Outlook, Word, Excel

• Adobe / PDF tools

Compensation

• Base Salary: $80,000 – $90,000

• Performance bonuses tied to file volume and efficiency

• Growth opportunity as Fast Track scales
