Staff Assistant II
The Office of Student Leadership and Engagement at The University of Tampa has a full-time position available for a Staff Assistant II to provide primary administrative support for seven professional staff members. This position reports to the Director of Community Engagement. As a member of the Office of Student Affairs, this position will uphold the values of diversity and inclusion, collaboration, personal responsibility, professionalism and community and citizenship. The work of this position will intentionally align with strategic priorities to advance the mission and vision of student affairs which results in student learning and support for students to grow as global citizens.
This position is designated as an essential employee and may be required to report to work as scheduled when University offices are closed due to severe weather or other conditions.
Responsibilities include providing primary administrative services for the Office of Student Leadership and Engagement, quality customer service for students, faculty, staff, families, alumni and external constituents, maintaining office budgets, Workday implementation including financial and student employment, hiring, training and supervising student desk assistants, building managers, and student coordinator of registered student organization finances, supporting Coordinator of Student Engagement with Registered Student Organization (RSO) finances, providing secondary support in conjunction with Events Services staff for all scheduling of conference rooms, theater, lobby, and courtyard of the Vaughn Center (first and second floors) and building operating hours with other departments, designing and implementing policies, guidelines, and protocols for the use of the Vaughn Center in conjunction with the Coordinator of Student Engagement, overseeing the rental of commuter lockers and bus passes, managing the on-campus car rental program, overseeing posting policy for departments and community members, ordering office supplies and submitting work order requests to facilities and information technology and security, supporting SG funded student organization leaders on budget procedures, revising department webpages and managing department e-mail accounts, tracking and analyzing student participant trends through Engage UT, assisting with Engage UT problem solving including new student and RSO usage and event registration, participating in the planning and implementation of the annual Leadership Awards Night hosted by the Office of Student Leadership and Engagement and Fraternity and Sorority Life, attending trainings and fully engaging in learning and utilizing university-wide technology, specifically WorkDay, and other department specific technology platforms, and contributing to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.
Qualifications include a high school diploma required, some college preferred, three (3) years of administrative/office experience, excellent customer service skills, knowledge of FERPA laws, as they pertain to private information, ability to maintain confidentiality, strong communication skills, well organized and detail-oriented, the ability to handle multiple tasks and to work with diverse populations including faculty, staff, students and families, finance background: strong math skills and problem-solving skills, knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office, and willingness to embrace new technologies and innovative organizational practices.
Work Schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m. Summer Monday through Thursday, 8:00 a.m. to 5:30 p.m. Occasional evenings and weekends may be required.
